Job Description

Inetum is looking for a highly organized, proactive, and service-oriented Business Support Specialist to provide operational and executive support to senior business leaders. This role is instrumental in ensuring efficient day-to-day business operations, enabling leadership teams to focus on strategic priorities and business growth.

The successful candidate will act as a trusted partner, managing complex schedules, coordinating meetings and business events, arranging domestic and international travel, and supporting expense and administrative processes. The ideal profile combines strong organizational skills, attention to detail, discretion, and the ability to thrive in a dynamic and international environment.

Key Responsibilities

Executive & Business Support

  • Provide comprehensive support to senior business leaders, ensuring smooth day-to-day operations.
  • Manage complex calendars, prioritizing meetings and activities according to business needs.
  • Coordinate internal and external meetings, including interactions with clients, partners, and senior stakeholders.
  • Proactively identify scheduling conflicts and recommend effective solutions.
  • Prepare meeting logistics, agendas, presentations, and supporting documentation when required.
  • Organize leadership meetings, business reviews, workshops, offsites, and other strategic events.

Travel & Logistics Coordination

  • Manage end-to-end domestic and international travel arrangements.
  • Coordinate flights, accommodation, ground transportation, visas, and travel documentation.
  • Prepare detailed travel itineraries and ensure all logistics are aligned with business requirements.
  • Monitor travel plans and proactively address changes or disruptions.
  • Act as a key point of contact for travel-related support.

Expense & Operational Management

  • Prepare, submit, and monitor expense reports in compliance with company policies.
  • Ensure accurate documentation, reconciliation, and timely processing of expenses.
  • Maintain and organize supporting records and documentation.
  • Collaborate with Finance and Business Operations teams to resolve expense-related queries and ensure compliance.

Stakeholder Coordination

  • Build effective relationships with internal teams and external partners.
  • Support cross-functional collaboration and communication across different business units and geographies.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Contribute to process improvements that enhance efficiency and operational excellence.

Qualifications

  • Previous experience in Executive Support, Business Support, Office Coordination, or a similar role.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Strong organizational and planning skills with exceptional attention to detail.
  • Excellent communication and stakeholder management capabilities.
  • Experience coordinating travel arrangements and expense management processes.
  • Proficiency in Microsoft 365 tools, particularly Outlook, Teams, Word, Excel, and PowerPoint.
  • Ability to work independently while maintaining a collaborative mindset.
  • Professional level of English (spoken and written).

Nice to Have

  • Experience supporting senior leadership teams in a multinational environment.
  • Familiarity with travel and expense management platforms.
  • Knowledge of administrative and operational processes within consulting or technology organizations.
