Job Description

This position is located out of our Bloomington, IN office. The role is eligible for hybrid work, with a typical schedule of 3 days in-office and 2 days remote per week. The salary range for this role is $48,000-$52,000.

The Indiana University Foundation is seeking an Executive Assistant to support our General Counsel & Audit department!

This position reports to the Executive Vice President- General Counsel and Corporate Secretary, while taking direction from the Assistant Counsel. In this role, you’ll provide significant support for the administration of estate gifts, masterfully handle files, databases, data entry, individual and department calendars, travel arrangements, and meeting materials, among other clerical tasks. Three times a year, you’ll attend annual IUF Board of Directors meetings and additional Board committee meetings, and be responsible for drafting the meeting minutes. As a key front-line point of contact for the team, you’ll field inquiries from internal and external stakeholders such as attorneys, government offices, vendors, board members, and other IUF departments/colleagues. Additionally, this role will serve as a back-up to the front-facing IUF Welcome Center Coordinator role, staffing the front desk reception area upon occasion.

Our work can involve strict deadlines and generally requires concise, accurate communication. You’ll be responsible for projects like processing of estates, tracking and renewing state licensures for our organization, and reconfiguring our electronic filing system. As such, we’re looking for someone with a crisp attention to detail and a collaborative mindset, who is receptive to feedback, takes ownership of projects and is solutions-oriented.

Qualifications

Education and Experience:

  • High School Diploma
  • Bachelor’s degree or some post-secondary education/coursework preferred
  • At least 6 years of professional experience in executive support, legal, accounting, banking, or project management strongly preferred
  • Paralegal or financial certifications such as CFP, CPA, or CLU strongly preferred
  • Combination of education/career experience will be considered

Knowledge, Skills, and Abilities:

  • Strong attention to detail
  • Demonstrated problem solving and project management skills
  • Prior experience with effective systems and methods of tracking information and transactions at various stages of an administrative process; ability to anticipate future actions and follow up as necessary
  • Superior time management and organizational skills to independently plan, prioritize and manage multiple projects and assignments with minimal direction
  • Excellent written and oral skills; Experience drafting meeting minutes a plus
  • Proficient in Microsoft Office suite, enhanced ability to utilize Word, Excel, Outlook, Teams, and PowerPoint
  • Strong organizational and time management skills
  • Ability to perform accurate data entry, scanning, and other tasks
  • Demonstrated success in cultivating, developing, and maintaining positive professional relationships
  • Collaborative working style and ability to work with many stakeholders at varying levels
  • Ability to address difficult situations in a graceful manner
  • Customer-service orientation
  • Ability to work independently with minimal supervision
