About the Real Estate and Personal Property Team:
The Real Estate and Personal Property department supports the educational, research, and service mission of Indiana University by serving and supporting the Advancement community to receive gifts of real estate and personal property. We partner with departments across the Indiana University Foundation and Indiana University to manage the donations of unique gifts such as furniture, art, vacation homes, musical instruments, and farmland. These gifts can have an academic or administrative use for the university, or the donors may intend that the gifts be sold, and the proceeds dedicated to benefit a scholarship, professorship, program, or capital project. We also oversee our commercial general liability insurance program, and commercial properties, and work closely with the Indiana University Real Estate department to purchase properties for all nine campuses as an investment for future expansion. Additionally, the Facilities department is part of our team and provides maintenance and security of the Foundation's offices as well as managing the Welcome Centers at Showalter House and University Hall.
Job Description
Are you an organized and detail-oriented individual with a passion for spreadsheets? The IU Foundation is seeking a collaborative, detail-oriented Senior Administrative Assistant to support our Real Estate department and Personal Property department!
This is a multifaceted role, which will provide support for the Real Estate team by managing commercial rent data, initiating new projects, assisting with departmental accounting, providing financial reports, and providing light project management support.
This role will also serve as support for the IU Foundation Welcome Center's front desk by greeting guests, handling incoming telephone calls, and coordinating meetings with Foundation members.
This role is listed as “On-site” and will be required to be at our Bloomington Indiana office 5 days per week.
Qualifications
Education and Experience Required:
- High School Diploma required; Associates degree in Accounting or Finance preferred.
- A minimum of two years of administrative support experience in a professional office setting.
Knowledge, Skills, and Abilities:
- Experience with Microsoft Office
- Experience in accounting programs such as financial edge or other bill pay software preferred.
- Strong attention to detail and accuracy in all tasks.
- Proficiency in spreadsheet management, data analysis, and financial tools.
- Exceptional organizational skills with the ability to manage multiple tasks efficiently.
- Excellent customer service, communication, and interpersonal skills.
- Solution-oriented mindset with the ability to address challenges and solve problems.
- Ability to exercise discretion and maintain a professional demeanor when handling sensitive information.
