About the job

We are looking for a proactive enthusiast to provide executive administrative assistance to the Ikano Retail Management team in the Service Office and to aid in the execution of cost-efficient travel solutions and strategies that align with the organisation’s strategic and operational goals. The incumbent is required to have great attention to detail, strives to deliver high quality work and shares IKEA values to Renew and Improve.

Your assignment

  • Provide consistently high levels of executive management support while maintaining confidentiality and exercising diplomacy.
  • Assess and manage competing priorities, initiate timeline for various decision forums and exercising discretion to facilitate optimal use of the managers’ time.
  • Manage managers’ meetings, coordinate travel arrangements and itineraries.
  • Support and back up the Executive Support & Travel Manager in the Ikano Retail Board preparation, pre-meeting coordination of materials for various committees and decision forums.
  • Execute the progression of information and duties including overseeing the signing of legal contracts & documents, raising purchase orders, maintaining the Ikano One webpage, filing travel expense claims for the management, co-workers’ profiles maintenance in the travel system and annual travel budgeting process.  
  • Lead and/or contribute to ad hoc projects to support the achievement of organisational-level strategic and operational objectives.
  • Evaluate, introduce and implement travel and admin solutions/technologies to improve efficiency and deliver envisioned benefits.
  • Initiate improvement to optimise and streamline business processes in areas where there is opportunity for increased efficiency and cost-saving.
  • Identify, document and update standard operating key procedures and processes.
  • Drive vendor selection initiatives for corporate hotels and travel providers.

Qualifications

Your profile

  • An administrative professional with at least 5 years of experience in supporting key management in a multi-national organisation.
  • Possess a bachelor’s degree in business administration studies or equivalent preferred.
  • Strong computer skills with proficiency in Microsoft Office Suite, technologically savvy and able to troubleshoot basic technical problems and keep up with the latest digital collaboration tools and software.
  • You are a detail-oriented self-starter, meticulous with a can-do and positive attitude.
  • Equipped with strong problem solving and critical thinking skills.
  • Excellent analytical, organisational and planning skills, with a drive for results and optimization.
  • Able to prioritise and manage time effectively.
  • High proficiency in English, excellent in both verbal and written communication skills.
  • Proactive, possess initiatives and able to work independently with minimal guidance.
