Job Description

The Customer service representative will be responsible for receiving and processing orders from A to Z, ensure the fastest possible delivery to these customers as well as timely invoicing. He/she will need to contribute to an outstanding purchasing experience for our customers.

He/she will work closely with the customer service team and internal stakeholders (production, sales, etc) and will report to the supply chain manager.

Thanks to his/her competencies in dealing with customers, he/she will help our division to be best in class in customer experience.

Responsibilities

  • Active follow-up of customers by telephone and email, with respect to delivery times and transport options, promotional campaigns, payment arrears, absence of orders, ...
  • Receipt of orders and input in the system, monitor from order to delivery, contribute to a timely delivery of orders;
  • External communication with customs and excise services, process excise formalities and keep them up-to-date;
  • Communicate internally with Production, Planning and Sales regarding  potential issues, solutions or opportunities;
  • Handle orders:
    • Administrative: invoices, certificates, classification, register promotion prices in IFS;
    • Logistics: arranging transport, preparing transport and customs documents;
    • Contact with sales managers regarding pricing and communication of promotional campaigns;
  • First point of contact for customers and colleagues concerning questions, opportunities and issues;
  • Create and follow up customer complaints;
  • Back-up for the distributors orders;
  • Other possible tasks associated with the sales administration.

Qualifications

  • You have a bachelor's degree in logistics with commercial feeling.
  • You express yourself fluently in Dutch, English and German, both in a (telephone) conversation as well as written. Other additional languages are a plus.
  • You can communicate at different levels, both outside and within the organization.
  • You can easily handle Microsoft Office (Outlook, PowerPoint, Word, Excel) and you preferably have experience with an ERP package.
  • You are a dynamic graduate or you have a first work experience in a similar role.
