Job Description

The Payroll Specialist has responsibility for the accurate and timely processing of multi-state payroll for various ITW business units, totaling from 2,000 – 3,500 employees.  They act as the primary liaison and subject matter expert between ITW Payroll Business Unit Administrators and ITW Corporate Payroll.  The Payroll Coordinator works closely with colleagues in Corporate Human Resources, Accounting, Compensation, and Benefits to ensure seamless integration of the various functions with payroll.   

Responsibilities:

  • Support business units (BU’s) utilizing the Ceridian Dayforce Payroll / WFM application
  • Work closely with BU’s to ensure that payroll data is received in a timely manner and in the proper format
  • Educate BU contacts on Corporate Payroll policies and procedures
  • Provide payroll subject matter expertise to the field
  • Notify Payroll Manager of any potential conflicts with federal or state wage/hour and withholding tax regulations
  • Commit timesheet locations on payroll commit days for supported BU locations
  • Send Dayforce audit reports to business units on payroll processing days and work to resolve issues prior to the payroll commit
  • Manage entitlement adjustments and troubleshoot entitlement balance issues for supported BU locations
  • Promptly submit all employee support orders, garnishments, wage assignments, and tax levies to Ceridian Wage Attachment Services for processing
  • Work with Ceridian Wage Attachment Services on any issues or inquiries related to garnishment processing
  • Understand and execute assigned activities on the Ceridian Dayforce payroll processing checklist
  • Submit direct deposit reversals and stop payments to the Senor Payroll Tax and Accounting Specialist for processing
  • Prepare manual check calculations requested by the BU’s
  • Perform all required pre-and-post payroll processing audits for weekly and biweekly payrolls to ensure accuracy
  • Review all Ceridian payroll audit reports, notify Payroll Manager and business unit contact of any required adjustments and process, accordingly
  • Communicate with BU and redirect all undeliverable or final payments returned to Corporate Payroll
  • Research W-2 issues and request W-2C, if required
  • Stay current on the latest federal, state, and local payroll regulations
  • Serve as back-up to other team members during absences and peak periods
  • Additional duties, as assigned

Qualifications

  • Minimum of 3 years processing payroll for a multi-state organization is required
  • FPC or CPP designation is preferred.
  • Bachelor’s degree is preferred.
  • Familiarity with a large payroll processing system
  • Proficient in Microsoft Office (Excel, Outlook, Word)
  • Thorough knowledge of payroll regulations, processes, and procedures
  • Self-motivated, detail-oriented, highly organized
  • Strong verbal and written communication skills
  • Client-focused
  • Proven ability to work in a team environment
