Job Description

ISN is seeking a Program Support Specialist who will be responsible for daily operations related to the performance of work on the Food and Drug Administration (FDA) Center for Tobacco Products (CTP). Program Support Specialists will be responsible for daily operations related to assisting Program Coordinators (BCs)/Back-Up Program Coordinators (BPCs) and Inspector and Minor in the performance of work on the Food and Drug Administration (FDA) Center for Tobacco Products (CTP). Program Support Specialists must possess strong organizations and communication skills as the majority of communication with the field will be via written (email) and verbal (telephone). Program Support Specialists will work in conjunction with PCs/BPCs to ensure Inspectors and Minors have the necessary tools and guidance to perform inspections.

Job Responsibilities:  

  • Recruit, interview, and on-board Minors and Inspectors to include:
  • Complete paperwork, identification badges, and cell phone equipment
  • Enroll and process Inspectors/Minors to include paperwork, identification badges, cell phone equipment
  • Ensure payroll is correct by performing audits at the close of each payroll
  • Update the FDA’s retailer list
  • Assist with development of invoice back-ups and supporting documentation on a monthly basis
  • Assist with creating and assigning inspections
  • Capture and distribute meeting minutes to workgroup
  • Distribute and track government property
  • Ensure initial training requirements are complete for all incoming staff
  • Ensure all yearly training requirements are met for all Inspectors
  • Monitor Minor’s age and alter Program Coordinator/Backup Program Coordinator of those aging out.
  • Ensure all Inspectors Insurance policies and proof of employment are up to date
  • Ensure payroll is correct by performing payroll audits semi-monthly
  • Complete monthly invoice back ups

Qualifications

  • Bachelor’s degree preferred
  • Excellent oral and written communication skills
  • Experience in management positions, leading teams of investigators/inspectors
  • Experience with compliance investigations or inspections a plus
  • 1+ years of relevant experience
  • Demonstrated administrative support skills
  • Comfortable making numerous daily phone calls
  • Excellent written and verbal communication skills
  • Excellent organizational skills
  • Proficient in Microsoft Office (specifically Word, Excel, and PowerPoint)
  • Previous experience working on sensitive projects, as well as handling confidential information is a plus
  • Familiarity with database management
  • Ability to meet aggressive deadlines
  • Ability to take on responsibilities, innovate solutions, and manage conflicting priorities with minimal guidance
  • Ability to prioritize and provide accurate follow up on all issues and correspondence
  • Able to pass a background check
