Job Description

Responsibilities

  • Assist the COO in the execution of her various mandates and provide administrative support for her office activities
  • Manage the COO's agenda, communications, follow up on emails and calls and schedule meetings
  • Manage special projects and follow up on various matters
  • Participate in the writing of documents, presentations, reports
  • Organize and coordinate travel plans and trips
  • Plan, organize and coordinate internal and external meetings
  • Welcome guests
  • Manage expense accounts in the accounting system
  • Write, revise and translate various documents
  • Participate in the coordination of internal and external events
  • Act as secretary in management meetings (minutes, agenda, preparation)
  • Manage and organize contractual and/or legal documentation
  • Perform all other related administrative and problem-solving tasks

Qualifications

  • DEC in secretarial or technical office automation
  • Minimum of 10 years of experience in a similar position
  • Excellent command of English and French (oral and written)
  • Excellent knowledge of the MS Office suite (including PowerPoint and email and calendar management)
  • Team spirit, proactivity, rigour, and professionalism
  • Strong organizational and time management skills
  • Ability to manage several tasks simultaneously
  • Exercise discretion and ensure confidentiality
  • Autonomous person, fast-acting, resourceful, able to work in a team and under pressure
