Job Description
The job holder is responsible for bringing administrative support to the AGUP 2 HR Lead for the recruitment and onboarding process of Contracted people.
In particular, he is responsible for:
• The preparation and maintenance of the mobilization plan and organization charts.
• The recruitment process from initiation to final approval.
• The preparation and organization of the arrival of personnel at the assignment locations, in coordination with various entities (HQ, Affiliates, TAS Agents).
• The support to AGUP 2 Personnel during the project execution until final demobilization.
• Any activities related to Human Resources in general.
The job holder is entitled to comply with rules and requirements of the Project and shall liaise and coordinate actively with the Human Resources representatives of the Affiliate, as with TTE HQ. The job holder will maintain constant contact with TTE Personnel and with TAS agencies. The job holder shall observe strict confidentiality during all the course of the Project.
The job holder has for main activities:
• To be a focal point for administrative coordination of the HR activities related to Technical Assistance Services.
• To maintain and update the AGUP 2 mobilization plan, as necessary.
• To prepare the mobilization of the necessary Technical Assistance resources in coordination with the Affiliate HR Support in local affiliate, support services in Ratawi Affiliate (HR, C&P), in particular, based on the AGUP 2 mobilization plan:
o Initiate the Contract Request Form with the support of AGUP 2 requesters,
o Initiate the Job Descriptions with the support of AGUP 2 requesters,
o Initiate the necessary Evaluation criteria with the support of AGUP 2 requesters,
o Initiate the Technical Assistance Services process to look for the necessary resources with Affiliate support Services,
o Maintain the recruitment register, and update accordingly,
o Regularly liaise with involved parties for adequate recruitment tracking,
o Arrange and Track the interviews of the candidates,
o Dispatch the proposed CVs to AGUP 2 requesters, and follow-up until final selection of the candidates,
o To request Purchase request creation to the Cost Control Team, and to track until Purchase order validation.
• To track the PR and PO creation until validation.
• Coordinate with Contract Engineer and follow up on each step of the mobilization.
• To inform IT support when candidates are selected to organize the necessary IT resources and HQ profile creation.
• To inform the Data Manager of the arrival of the candidates to organize access to the various Softwares, sharepoints, etc.
• To manage the renewals of the existing TAS contacts in coordination with AGUP 2 requesters and Affiliate support Services, issue reminders to the hierarchies and Cost Control.
• To manage the changes in roles, locations, regimes, etc. of the mobilized resources.
A flexible attitude with a willingness to take on other project activities as and when required by project management is an essential requirement of this position.
• Serve as the focal point for HR administrative coordination of Technical Assistance within AGUP 2.
• Maintain and update the AGUP 2 recruitment tracking.
• Ensure mobilizations are maintained according to the Mobilization plan.
• Coordinate recruitment processes, contract renewals, and role changes with relevant teams.
• Ensure timely validation of Purchase Requests (PR) and Purchase Orders (PO).
• Oversee IT setup and system access for new hires.
• Track and report new joiners, ensuring smooth mobilization and demobilization
Qualifications
• A University degree, completed by at least 3-6 years of experience in HR positions.
• Strong ability to communicate to employees.
• Able to maintain confidentiality and discretion.
• Curious individual with a strong willingness to learn.
• Strong proficiency of Microsoft Office especially Excel; Power BI is preferred.
• Proactive, passionate, calm under pressure and result-driven.
• Autonomy in a demanding high-growth/ high pace environment.
• Solid understanding of applicable Group procedures and processes, as well as its organization.
• The service will be performed in English.
• Arabic and French languages are an advantage.
• TotalEnergies experience is an advantage.
• Already resident in the UAE.
