As a specialist function, the purpose is to ensure that IKEA SEAMEX has the proper systems and teams (contracted and co-working) in place to deliver results, and keep our properties, buildings and supporting infrastructure in safe, working order, available and open for business. Through effective facilities management and maintenance, we seek to extend the life of our assets and investments while extracting the maximum value out of our properties and operations in order to keep our costs as low as possible, in order to strengthen IKEA's position as the best home furnishing specialist in the market.

Operational Excellence / Leadership

  • Management of all FM service contracts and vendor management. Ensure that the Scope of Works are in line with the Matrix and that the Services (and Products) are being delivered and reported to expectations. Monitor FM Contracts for compliance and cost control. Maintain partnering relationship with vendors, suppliers, and contractors while ensuring they deliver best products and services at minimum expenses
  • Implement condition based & preventive maintenance and repair schedules for the roof, building façade, road drainage system, all facilities and buildings. Plan, organize and execute maintenance repairs, minor installation and replacement to ensure smooth running of the operations, Carry out preventative maintenance of all MEP facilities including a strong monitoring regime of condition based maintenance to schedule planned repairs and timely part replacement to ensure the smooth functioning of the plant, equipment and all installations.
  • Management of the facility operations, energy consumption, maintenance of the facilities infrastructure, buildings, with the aim of being operationally efficient. Supervise Technical team for operations and maintenance of the building.
  • Investigate, and take corrective actions to overcome technical problems.  Develop and implement solutions, trouble shoot on day to day operational problems of facilities and building. Take charge on all emergency control on and off hours.
  • Manage the functions business plan, keeping it updated and ensuring that all proposed plans are executed in an efficiently and timely method. Lead the costing, project management and implementation of any base building work changes.
  • Leverage and Utilise Digital Technologies to improve the business and Building /property KPI’s.
  • Work with the Service Office in Regional Initiatives and Assignments, Report back to Service Office on Regional Initiatives and the provision of KPI’s for Analysis and Updates. Attend Regional Workshops and Training programs to retain and improve competency with Service Office, Ensure that the Store team is also trained and competent to support in their work.   

Compliance

  • Attend any Corporate Body or Strata Management Meeting as a representative of IKEA Property and Expansion & Facilities Management.     
  • Actively engage with stakeholders in fire prevention, safety and security. Take the lead in the Sec Check /GRM compliance process and work through practical ways with SO Facilities Manager as well as the Risk Manager to comply and meet the targeted score.
  • Ensure that our Buildings and Property are compliant to statutory legal requirements and that these and IKEAs’ rules and regulations are adhered to. Perform periodical quality control inspections to ensure adherence to company specifications and standards.

Long-Term Property Planning and Development

  • Build and oversee teams of facility management staff for new properties.
  • Ensure that all Assets on the IKEA Register have been labelled and Asset management systems have been fully implemented.
  • Work together with the store operation to plan, develop and execute programme on a continuous basis to ensure the improvement of the store and the building. Create, propose, maintain, and communicate a comprehensive property plan for understanding and collaboration with all stakeholders.
  • Set and transform into practice a long-term maintenance plan of the current property.
  • Encourage and bring in new initiatives for continuous improvement of property performance.
  • Ensure good landlord and tenant relationships.
  • Review Body Corporation levies and regulations in IKEA’s favour, ensure that we are compliant to Strata Management regulations and fully paid up.

Budget

  • Shared responsibility for business results, goals, defining and applying life cycle within all functional work processes, especially in annual budgeting. Assure the reliability and cost effective operations of various facilities whilst controlling the built up of the maintenance cost
  • Prepare financial projection of the capital expenditure and the operational budget.
  • Conduct the proposal for expansion/investment projects with the analysis of market demands, business enhancement potentials, and financial return.
  • Manage the development/investment projects from the bid to the work acceptance stage.
  • Development of long and short term operations maintenance plans, and be responsible for preparation of the budget for the building, its facilities and the store operations.
  • Review Service charges from the Body Corporate. Provide advice on relevant issues to the Store Manager and Matrix as required.

Requisitos

  • English - Must be able to communicate and understand English - speaking and technical writing
  • Education & Experience - Technical or Engineering Degree or Diploma from a recognised institution with Project Management Experience.
  • Minimum of 5 years supervisory experience in facilities management/maintenance management/ building operations maintenance, Hands on knowledge in handling all technical aspects of building and facilities management
  • Statutory Compliance - Well versed in all local laws & regulations governing property maintenance, building management, statutory compliance and certification and licences.
  • Project and Contract Management- PMI - Prince 2 Qualified - Experienced in Construction Management, Knowledge of & experience in Commercial Contract Management and Law, able to alter /draft FM contracts for review
  • ICT & Management Systems - Able to use Microsoft Office Suite (Word, Excel, Powerpoint, Skype, Outlook, etc). Knowledge of and Experience in CAFM/CMMS Systems operations and reporting.
  • Social - Must have strong communication and interpersonal skills, Must be able to share knowledge and learnings with highly developed networking skills
  • Communication - Skilled in report writing and presentations, Must be able to communicate clearly business and technical concepts and issues to fellow co-workers and senior management.
  • Initiative - Must have a strong service ethic. Pro-active, can do attitude and problem solving skills are preferred
  • Leadership - Must have proven leadership abilities and lead by example. Must have the ability to bring out the best in co-workers and to motivate and develop the co-worker.
  • Ownership - Must have the ability to create an environment where the IKEA values are a strong and living reality that embraces the diversity of co-workers and visitors.
