Job Description

Strategic and hands-on role that provides full-cycle HR support to the IFS Ultimo Americas business unit while overseeing payroll operations to ensure compliance, accuracy, and alignment with company policies. The role involves aligning business objectives with employees and management, advising on HR strategy, employee relations, and driving payroll efficiencies. 

Key Responsibilities

  • Working as a strategic partner with business leaders to manage their teams on various generalist HR issues. 
  • Providing proactive and reliable daily operational and advisory support to the organization. 
  • Managing and resolving complex employee relations issues. 
  • Ensuring accurate and timely payroll processing, including salary, bonuses and benefits. 
  • Collaborate with finance to ensure payroll data is accurate and reconciled with financial records. 
  • Ensuring compliance with federal, state, and local payroll tax regulations, wage laws, and overtime rules. 
  • Address and resolve payroll discrepancies, manage payroll audits, and ensure data accuracy. 
  • Ensuring compliance with employment laws and internal policies. 
  • Conduct investigations and provide counsel on disciplinary actions, grievances, and conflict resolution. 
  • Serve as a point of contact for payroll-related employee inquiries.
  • Resolve issues regarding pay, benefits, and withholdings. 
  • Analyze HR and payroll trends and metrics to provide data-driven insights to senior leadership. 
  • Utilize payroll data to help inform workforce planning, budget forecasting, and labor cost analysis. 
  • Lead and support HR and payroll-related projects such as systems implementation, M&A’s, and organizational restructuring. 
  • Drive payroll process improvements, leveraging technology and automation to increase efficiency and reduce errors. 
  • Maintain and Manage the relationship between IFS Ultimo and ADP TotalSource to include but not limited to be the point of contact for : 
    • Annual Open Enrollment for Benefits, Changes to the Plan, review and determine with the IFS Ultimo leadership team annual vendor and/or plan changes. 
    • Ensure all HR Employee Changes:  Compensation, New Hires, Terminations, Completing I-9’s,
    • Payroll Changes: Review and Approve Payroll, Special Payroll Runs; Bonus/Commission payrolls.
    • Reporting - Receive and manage the Payroll Reporting including General Ledger Reports, Compliance Reports.
    • Manage the Employee and Manager Self-Service relationship with ADP TotalSource.

Qualifications

  • Minimum of 8-10 years of experience in Human Resources with at least 3-5 years focused on payroll administration. 
  • Proven track record as an HR Business Partner in a mid-to-large-sized organization. 
  • Hands-on experience with payroll processing. 
  • Strong knowledge of payroll laws and best practices, including federal and state regulations. 
  • Advanced skills in ADP TotalSource and HRIS systems. 
  • Excellent communication and interpersonal skills. 
  • High level of accuracy and attention to detail. 
  • Analytical with experience using data to support HR decisions and process improvements. 
  • Ability to work independently, manage multiple priorities, and adapt in a fast-paced environment. 
  • Self-motivated, disciplined, problem solver. 
  • Flexibility to work remotely or in a hybrid setting as per company policy. 
  • Occasional travel may be required for meetings, payroll audits, or business needs.
