Job Description

Job Summary:

The Junior Reward Operations Coordinator will support the Rewards team by handling a range of transactional tasks and administrative duties. This role focuses on the creation and management of purchase orders (POs), data collection, vendor coordination, supplier onboarding, and various operational support functions.

Key Responsibilities:

  • Transactional Processing:
    • Creating and managing purchase orders (POs) for the Global Rewards team
    • Support the posting of transactions in relevant systems.
    • Help maintain accurate records and ensure data accuracy.
  • Benefits Management:
    • Execute and administer activities related to benefit plan eligibility, enrollments, status changes, and terminations including some social security programs.
    • Review and monitor data integration reports to identify and address inaccuracies and systems errors
    • Liaise with system providers, local brokers and vendors as needed
    • Review action, and reconcile system generated reports as needed
  • Data Management:
    • Gather and organize data related to Rewards activities.
    • Assist in preparing reports and documentation as needed.
  • Vendor Coordination:
    • Support communication with vendors regarding insurance and related queries.
    • Administer invoicing and payment processes for regional and some local vendors including validating payments, etc. within the defined vendor management framework
  • Supplier Onboarding:
    • Assist with the onboarding process for new suppliers.
    • Help maintain up-to-date records of suppliers.
  • Operational Support:
    • Provide general support in managing Rewards-related tasks and projects.
    • Assist in developing and implementing operational procedures.
  • Communication:
    • Collaborate with team members and external partners to ensure smooth operations.
    • Address routine operational issues and escalate as needed.

Qualifications

  • Education:
    • Bachelor’s degree in Business Administration/HR, Finance, or a related field.
  • Experience:
    • Some experience in an administrative or transactional role is desirable, preferably in HR or Finance.
  • Skills:
    • Strong organizational and administrative skills.
    • Good communication and interpersonal abilities.
    • Basic proficiency in MS Office Suite (Excel, Word, PowerPoint) and other relevant software.
    • Attention to detail and a willingness to learn.
