Job Description

We are looking for an Operations Coordinator to join the COO Office in IFS R&D in Colombo.

The main focus of the COO Office is to enable the R&D organization to create, maintain and rollout high-quality world class products in an efficient manner by ensuring planning and execution of our product releases, aligned ways of working across teams, management of strategic programs and projects and communication according to the Rhythm of the Business. 

The Operations Coordinator will assist the COO and the COO Office leadership team with ensuring that the COO Office runs smoothly, that all details are taken care of and deadlines are kept. You will become a valuable part of the Operations and PMO team and collaborate with team members all over the globe on a number of projects and activities.

Outline of Duties and Responsibilities

  • Performing general administrative tasks, e.g., planning meetings, sending out meeting invites, organizing calendars, etc.
  • Assisting with operational initiatives by following up on actions, tracking progress, and resolving issues.
  • Preparing and maintaining documents, reports, and presentations.
  • Creating, managing and approving company workplace posts.
  • Assisting in preparation and follow up of the COO team meetings.
  • Managing tools and email groups.
  • Arranging and assisting with onboarding of new employees.

Qualifications

  • Experience from a similar position is a must!

Outline of Skills

  • Proficient in Microsoft Office, especially familiar with PowerPoint and Excel.
  • Good communication skills and fluent in written and spoken English.
  • Excellent interpersonal skills to build strong relationships with colleagues.
  • Able to multi-task and prioritize in order to achieve deadlines.
  • Highly motivated and an engaged employee, with a ‘ready to learn’ attitude.
  • Excellent planning and problem-solving skills.
  • Able to take direction, follow procedures, and ask appropriate questions.
