Job Description
Arcadis is seeking a Senior Administrative/Executive Assistant to support the Director, US Intelligence and US Transportation Technology Practice Group Lead based in our downtown Seattle office. Your role will include handling the day-to-day administrative functions of the studio including assistance in proposal preparation while providing positive interaction with all internal staff and external contacts, maintaining confidentially, diplomacy and flexibility in your daily work routine.
You will possess the ability to rearrange priorities on short notice and respond to a wide variety of requests. A good sense of the “big picture” will be an asset, enabling you to trouble-shoot or track down information, documents, and/or the correct contact person, as applicable.
Role accountabilities:
- Demonstrate initiative in handling day-to-day administrative functions to support the department’s needs
- Schedule/coordinate appointments and meetings for the Director, US Intelligence and Senior Managers as required
- Coordinate travel arrangements for Senior Management including flights, visas, hotel and car reservations as well as prepare an itinerary
- Assist in the planning and coordination of workshops, working groups, and meetings
- Take notes and circulate minutes and action items following workshops, working groups, and meetings
- Format and complete editorial and quality control reviews of Word, Excel, and PowerPoint materials
- Assist in the preparation of presentation materials as required
- Develop and maintain a well-organized digital and hard-copy filing system that permits easy reference and rapid retrieval of information
- To continually expand and update high level professional knowledge relative to the intelligence industry
- Perform other administrative tasks as assigned
Qualifications
Qualifications and Experience:
- Certificate, Diploma or Degree in Administrative Assistant Program or equal;
- Minimum 5 years of experience in a related role
- Experience working in design or engineering environment is preferred
- Demonstrated excellence in communication skills both written and verbal
- Exceptional, demonstrated Microsoft Office 365 skills
- Strong, demonstrated workload management and prioritization skills
- High degree of interpersonal skills, with ability to deal effectively with internal staff at all levels, as well as external clients
- Highly organized and detail oriented
- Ability to deal with matters of a confidential and sensitive nature, exercising good judgment at all times
