Job Description

The Role:

Based in our award winning Cardiff studio and working with the Education team across UK&I, this role will provide broad analytical, administrative and research based support to the Regional Sector Leaders within our Learning+ team.

The role is preferably full time, however we can be flexible for the right candidate and would consider 4 days a week / shorter working hour options.

Responsibilities and Duties:

  • Coordinate the preparation of monthly reports and issue to the sector team
  • Liaise with Finance team for preparation of financial reporting
  • Extract information from financial and ERP systems and produce reports for Regional Sector Leads
  • Receive market intelligence reports, filter and distribute to sector team
  • Extracting information from subscribed newsletters and compiling for Learning+ email distribution list
  • Undertake desktop study / information gathering to support market intelligence exercise

Administrative support to Regional Sector Lead(s):

  • Manage requests from staff received and provide responses to ‘standard’ items
  • Provide holding response / link to relevant contact for external clients / contacts
  • Coordinate diary booking with Regional and Studio Sector Leads and external contacts
  • Coordination of responses to global Learning+ team and requests for support from colleagues outside of UK&I region

Supporting sector business development and marketing activity through:

  • Tender / bid response
  • Coordination of central resource library of template fee examples etc for bids / fee proposals
  • Event organisation / attendance
  • Collation of addresses and distribution / contact lists

Qualifications

  • Excellent MS knowledge:
    • Advanced Excel skills for reporting and maintaining databases and undertaking market intelligence analysis
    • Advanced Word skills, ability to touch type, ability to manage large documents using advanced tools
    • Ability to prepare presentations / deal with graphics / manage file sizes appropriately within Powerpoint
  • Confident and able to deal with senior management requests in an appropriate manner
  • Able to deal with confidential information both externally and internally within IBI - absolute discretion required
  • Excellent written English and the ability to review text and proof read
  • Demonstrates initiative
  • Proactive and able to ‘head off’ issues before they become a problem
  • Thorough with a focus on detail
  • A ‘self-starter’
  • Ability to operate (mostly) with minimum line management intervention
  • Works well under pressure in a dynamic workplace environment
  • Experience within, or an interest in, the Design or Building sectors would be warmly received
