We are currently looking for a dedicated and efficient Staff Co-ordinator to join our Office team to manage the day to day scheduling of our service.

Job Description

The Staff Coordinator is expected to perform a variety of duties in the coordination of scheduling service for clients. The Staff Coordinator is expected to assist and support other staff members in order to provide the highest quality service to clients. 

The position is full time Monday-Friday 8am-4pm.

Primary 

  • Develop and maintain relationships with both clients and CAREGivers by regular informative and telephone contact           
  • Coordinate CAREGiver schedules on a daily basis
  • Coordinate staffing for CAREGiver holidays and sickness 
  • Assist in the planning and coordination of new client services 
  • Coordinate and maintain monthly client schedules in company database 
  • Enter and maintain accurate client and CAREGiver records in company database 
  • Provide up to date hand over for out of hours cover
  • Participate in out of hours “on call” rota 
  • Answer each incoming call in a friendly, professional and knowledgeable manner 
  • Co ordinate and send out CAREGiver schedules on a weekly basis 
  • Communicate schedule changes to CAREGivers and Clients
  •  Input and Create new client schedules on company database 
  • Initially authorize holiday requests on the basis of Schedules 
  • Participate in the billing process on company database
  • Participate in Monthly Payroll 
  • Regularly assess recurring schedules 
  • Coordinate and maintain a complete Client Service Schedule 
  • Entering New CAREGiver availability on company database 
  • Discussing new CAREGiver schedules in initial office contact 
  • Following up alerts regarding CAREGiver attendance at Clients
  • Record relevant scheduling statistics on a weekly basis

  • Participate in quarterly CAREGiver meetings 
  • Participate in Statistics meetings 
  • Keep an accurate record of hours scheduled, lost and covered 
  • To generally support the team in successfully managing delivery of client support in the context of Company policies and procedures 
  • Participate in the day to day running of the office and the maintenance involved

Qualifications

  • Experience or working in a similar role i.e scheduling, rotas, staff coordination
  • Experience of working under pressure and to deadlines
  • Experience of interacting or working with elderly people either paid or unpaid
  • Experience in working with company computer systems
  • Good standard of oral and written English
  • Confident and efficient Communicator
  • Ability to follow instructions and local policies and procedures
  • Knowledge of Care Standards
  • Good computer skills
  • Excellent record keeping skills
  • A full driving licence
  • Willingness to take part in out of hours ‘on call’ on a rota basis
