Job Description

The Office Administrator is expected to support the Registered Care Manager by performing a variety of clerical and administrative duties in order to provide the highest quality of service to Home Instead Senior Care clients and support to our CAREGivers. 

The Role: 

• Offer admin support to all aspects of the business • Ensure all filing and electronic data are up to date • Answer phone calls in a polite, professional manner, providing solutions to queries where able or passing on clear messages to the appropriate member of staff to resolve these. • Play an important role in CAREGiver Recruitment by supporting the Recruiter on application screening and other clerical and administrative duties. • Undertake any support or admin duties as required by the Director or the Registered Care Manager Secondary Duties: • Day to day administrative support for the Team including, but not limited to, diary management, photocopying, filing, archiving Client and CAREGiver files and updating People Planner (electronic system). • Typing Client's Care Plans • All administrative tasks associated with CAREGiver Recruitment. • Making and answering phone calls in a polite, professional manner, taking and passing on messages, dealing with visitors, supporting the team with Client and CAREGiver enquiries. • On call duties as and when needed and agreed with the management. • Dealing with incoming and outgoing post. • Arranging and scheduling meetings, preparing agendas, taking minutes, sharing minutes and information with staff. • Supporting the Care Coordinator with scheduling and management of CAREGiver holidays. • Organise, attend and participate in recruitment and networking events and initiatives. • Ensure office supplies, stationery and PPE are well stocked. Qualifications: Good understanding of all Microsoft office programs (i.e. Word, Excel, Outlook, etc.) Minimum 5 GCSE's including Maths and English. Strong Communication Skills Ability to work in a Team Good, clear, polite and professional telephone manner Effective time, resource and workload management Ability to work under pressure Experience in office administration Clear DBS A minimum of 4 Satisfactory References - 2 of which must be professional

Qualifications

Good understanding of all Microsoft office programs (i.e. Word, Excel, Outlook, etc.) Minimum 5 GCSE's including Maths and English. Strong Communication Skills Ability to work in a Team Good, clear, polite and professional telephone manner Effective time, resource and workload management Ability to work under pressure Experience in office administration Clear DBS A minimum of 4 Satisfactory References - 2 of which must be professional
