Job Description

JOB RESPONSIBILITIES

Will manage and coordinate administrative support functions and travel desk role. This entails a wide variety of responsibilities, such as, assisting in the:

  • Budget preparation process and expenditures
  • Office space management
  • Travel booking and management
  • Office equipment requirements
  • Filing of expense reports on a timely basis
  • Performs other duties as assigned
  • Answer and direct phone calls
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Develop and maintain a filing system
  • Order office supplies and research new deals and suppliers
  • Provide general support to visitors and night shift employees but willing to take on morning shift if needed
  • The incumbent will be expected to advise on administrative matters to senior management, carry our special assignments for senior staff, identify problem areas, determine solutions, and implement changes

 

EMPLOYMENT TYPE: Full time position

WORK SCHEDULE:  Wednesdays to Fridays from 8 PM to 5 AM

                                   Saturdays to Sundays from 12 PM to 9 PM (Work from Home)

                                    Work on Holidays if deemed necessary

WORK LOCATION: BGC, Taguig City

Qualifications

JOB QUALIFICATIONS

  • Professional work attitude
  • Superior Team effectiveness skill
  • Minimum of 1 year experience as an administrative assistant, virtual assistant or office admin assistant
  • Basic Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular), Outlook, Skype
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Can accept negative feedback in a constructive manner.
  • Highly flexible
