Job Description
FULL TIME (40 HOUR) DAYS
MONDAY TO FRIDAY 8:00AM TO 4:30PM
NO WEEKENDS OR HOLIDAYS
GENERAL SUMMARY:
As an Office Coordinator, you'll be the operational backbone of your department—driving efficiency, supporting your team, and ensuring exceptional customer experiences from the first point of contact. Working under the general supervision of your manager, you'll orchestrate day-to-day operations, mentor new associates, and solve the problems that keep everything running smoothly. You're not just managing tasks; you're enabling your team to deliver outstanding service.
KEY RESPONSIBILITIES:
Leadership & Team Development
- Direct and mentor clerical staff by assigning work strategically, providing constructive feedback, and ensuring adherence to departmental policies and best practices
- Lead the orientation and onboarding of new associates, setting them up for success from day one
- Interview candidates and participate in selecting clerical personnel, building a high-performing team
- Evaluate employee performance and contribute to professional development initiatives
Operations & Data Management
- Maintain and update critical department records, databases, and systems with precision, ensuring accurate information flows throughout the organization
- Safeguard confidential information including personnel records and patient data in compliance with all regulations
- Generate and submit comprehensive reports to internal and external agencies on schedule
- Serve as a resource and problem-solver for clerical staff, removing obstacles and driving continuous improvement
Financial & Charge Management
- Execute charge capture processes with expertise, including daily and monthly charge reconciliation and variance investigation
- Demonstrate thorough understanding of department charges, charge order sets, and CDM management to optimize revenue capture
- Monitor purchasing activities and ensure equipment maintenance stays on schedule, protecting departmental assets
- Identify, investigate, and resolve billing discrepancies and errors promptly
Compliance & Professional Excellence
- Maintain current knowledge of applicable Federal, State, and local laws, regulations, and the Corporate Compliance Program
- Uphold the Code of Ethics and organizational policies, modeling honest, ethical, and professional behavior
- Communicate effectively with customers, addressing concerns and building lasting relationships
- Demonstrate proficiency across all applicable software systems to maximize operational efficiency
Qualifications
EDUCATION/EXPERIENCE REQUIRED:
High school graduate or G.E.D. equivalent is required. Associates Degree in Business, Medical Assisting or Healthcare Management preferred. Four (4) years of previous experience in hospital/healthcare office. Knowledge of medical terminology and general office procedures. Literacy and experience using Microsoft Office software programs required. Previous supervisory or team leader experience preferred. Advanced knowledge of office equipment.
