Job Description

Assists the Billing Supervisor in managing the billing department and steps in when various billing department duties need to be covered, including training on new hires when required.  The Assistant Billing Supervisor also performs a variety of other accounting and bookkeeping duties according to established policies and procedures. Maintains contact with attorneys, staff, vendors, clients, and Electronic Bill review systems and observes confidentiality of client and firm matters.

Essential Job Functions:

  • Knows each role in the billing department and can step in wherever needed to fill coverage including processing the daily deposit.
  • Distribute and process monthly attorney prebills and invoices for specific clients.
  • Monitor accounts receivables and follows up on outstanding payments.
  • Reviews and verifies accuracy of billing, ensuring all supporting documentation is accurate and complete.
  • Familiar with and apply Firm billing guidelines.
  • Communicate professionally with all billing parties to resolve billing discrepancies.
  • Creates and distributes monthly reports.
  • Collaborate with outsourcing teams to streamline billing processes and improve operational efficiency.
  • Always ensure strict confidentiality.
  • Assists with special projects as needed.

Qualifications

  • High school diploma or GED required, associate or bachelor's degree in accounting preferred.
  • Three or more years of hands-on Billing, Accounts Receivable, Accounts Payable, or accounting experience, preferably in a law firm.
  • Perfect Law billing software experience preferred.
  • Demonstrated proficiency with Microsoft Office suite.
  • Ability to handle a high volume of bills per month.
  • Ability to effectively interact and communicate with attorneys, secretaries, and clients.
  • Ability to multi-task and prioritize.
  • Ability to organize workflows and use time efficiently.
  • Ability to pay strong attention to detail.
  • Ability to perform at high levels in a fast-paced, ever-changing work environment and successfully adapt to changing priorities and work demands.
  • Ability to anticipate work needs and follow through with minimum direction, follow up on initiatives.
