Job Description

As TeiaCare’s Administration and Organization Assistant  Intern, you will be expected to provide a high-level of support for the Management Team, executing on administrative functions for Board management, drafting and managing Board and Committee communications, and preparing records and reports.

ESSENTIAL DUTIES

·         Maintain accurate Board member records in the TeiaCare database, shared electronic drive, and paper files; create database reports, as needed; produce the Board reports and interact with Work Consultants, Lawyers and Accountants

·         Work closely with the Company Management and every other team member

·         Maintain accurate historical records of Board actions, including meeting minutes, resolutions, and policy changes

·         Assist Team members for salaries, permissions and holidays procedures and questions and all related HR tasks

·         Assist with the coordination of planning and preparation for all Board-related meetings, events and activities including Board meetings, orientations, receptions and special sessions

·         Keep the office running like clockwork, making sure everything is left at its place, and being the first to arrive and open the doors in the morning

Qualifications

What is required

  • High School Diploma in Accounting or related or BSc in Management, Law or related

·         Highly proficient in Microsoft Word, Excel, PowerPoint, and Outlook

·         Detail oriented with strong organizational skills; demonstrated integrity and ownership of projects from start to finish

·         Excellent communication and technical writing skills in Italian

·         Excellent communication and technical writing skills in English

·         Strong written and verbal communication skills, along with possessing the ability to work hands-on in cross functional teams

·         Thorough knowledge of executive clerical, secretarial, and administrative support tasks and duties

·         Basic knowledge of budgeting practices and procedures

·         Basic knowledge of business math and statistics

·         Ability to multitask and prioritize work while balancing multiple deadlines

·         Ability to work independently as a self-starter with little supervision

·         Professional attitude and appearance

 

What constitutes a big plus

  • Previous experience in a similar role
  • Written and speaking proficiency in one or more of these languages: French, Spanish, German, Chinese or Arabic
