Job Description

You will be our next Office Manager working closely with our executive team in a rapidly growing organisation. You'll bring your knowledge of all things people-related and pair it with a deep understanding of our business objectives, allowing you to form a strong strategic partnership with the leaders and managers within Operations, Sales, Product and Siftware Engineering teams. As our Office Manager, you will be responsible for supporting the People and Administrative functions at Qumata. You are an enthusiastic, agile, diligent and highly organised people person, who will support our team in pioneering technological disruption in the insurance industry. As a member of our dynamic team, you will provide invaluable proactive assistance in various fields, including helping structure our growth, scale up the team, onboard new team members, manage our communication, manage calendar organisation, organise payroll, invoices and expenses, orchestrate social activities, and all administrative functions of the business, alongside the smooth running of the Qumata virtual and physical office.

The ideal person will have huge energy to help others and strong interpersonal skills to develop the team spirit, to set up the optimal working context by removing most of the unnecessary constraints.

This role will be a combination of People and Office related responsibilities, including, but not be limited to:

People

  • Administration of the employee life cycle: to create a high performing employee experience
  • Assisting and collaborating with the executive team on developing the Qumata Wellbeing Strategy
  • Industry related research projects to continue to make Qumata a great place to work
  • First point-of contact for internal and external HR and Office queries
  • Manage employee engagement surveys and analytical reporting
  • Work with managers to ensure that everyone in the team understands how they are supported to learn, grow and develop their careers

Office

  • Regular stock checks and organisation of office post and deliveries
  • Assisting with organising client meetings and calendar management
  • Assist with executive assistance to the senior management
  • Organisation of team events and wellbeing initiatives
  • Assist with board meetings and occasionally client meetings minutes taking
  • Support with payroll, invoices and expenses
  • Managing/shaping systems to support the team – including managing shared drive
  • Supporting our Group Finance Director with monthly reports
  • Work with managers and leaders on all legal, compliance and employee relations matters

Qualifications

  • 2 – 3 years experience in an HR/ Office Management Role
  • You are pragmatic and pro-active in how you approach all people-related challenges. You balance the needs of the business with the needs of our people
  • You are a strong communicator with excellent attention to detail
  • Understanding of UK Employment Law is desired but not essential
  • Prior experience with an HR System preferred but not essential
  • Organised and adaptable team player with the ability to meet the demands of a fast-paced environment and have responsibility from day one
  • Proven ability to juggle multiple competing priorities and adjust with changing business needs
  • You have excellent attention to detail and accurate execution
  • You are a role model of our culture. You take a culture first view on every process and approach
  • Based in between the UK and the Japan TimeZones is a requirement
