Job Description

He aha te tūranga - About the role:

This 12-month fixed-term role provides high-level administrative and coordination support to district leaders, helping to deliver key priorities for the Emergency Ambulance Service. Based in Christchurch City, this is a full-time position working 40 hours per week, Monday to Friday. You’ll be the primary point of contact for the District Operations Manager and wider District Leadership Team for their administrative needs.

Key skills required:

  • Provide day-to-day administrative support to the District Operations Manager, including diary, email and calendar management
  • Actively contribute to the District Leadership Team through administration, coordination, critical thinking, and ongoing support
  • Draft, prepare, and compile reports, statistics, correspondence, response manuals, and staff compliments/complaints
  • Carry out all general administrative tasks, including monitoring office supplies and raising purchase orders
  • Prepare professional documents including correspondence, reports, memos, and presentations, ensuring these meet required standards and deadlines
  • Coordinate meetings and district events as required
  • Provide subject matter expertise in relevant systems and software, such as Microsoft Office, Adobe, and the Purchase Order System
  • Maintain organised and up-to-date filing systems, ensuring district materials reflect the latest policies and procedures
  • Coordinate and manage travel bookings and related logistics
  • Complete other general administrative duties as required

Qualifications

Ko wai koe - About you:

This role will suit a highly organised and experienced administration professional, ideally with 3+ years’ experience in a medium to large organisation. Experience within the health sector would be an advantage.

Key skills required to be successful in this role:

  • Proven experience in diary management and working to tight timeframes and deadlines
  • Comfortable working in a busy, fast-paced, and constantly changing environment
  • Skilled at working within and improving established processes
  • Strong and accurate typing skills
  • Confident in stakeholder engagement and communication
  • Proficient in Microsoft Office (intermediate to advanced level)
  • Excellent verbal and written communication skills, with a high level of attention to detail
  • Able to work well both independently and as part of a team
  • Sound knowledge of administrative systems and processes
