Job Description
We’re looking for a Bid Coordinator to join our Sydney Studio. If you’re highly organised, creative, and thrive on delivering exceptional bids, this is your opportunity to make a real impact—and grow your career in a supportive, globally recognised design practice.
The Role
As a key member of our business development team, you’ll manage the end-to-end bid process, ensuring timely, high-quality submissions. Collaborating closely with our leaders and technical experts, you’ll create standout, client-focused proposals using Adobe InDesign, all while maintaining Hassell’s high standards and brand consistency.
You will proactively engage with Principals and work with the BD team, coordinating and preparing submissions, wider client engagement content and business information.
The Bid Coordinator will proactively participate in the global bid team, contributing to a collaborative and supportive environment, including leading submission for other studios, sharing best practice, reporting and continuous improvement initiatives.
This role offers exposure to exciting projects and the chance to work closely with senior leaders, paving the way for career development opportunities in areas such as business development, strategy, and design communications.
What You’ll Do
- Work with Leaders to coordinate bid submissions, prioritising tasks and managing deadlines.
- Oversee and participate in the end-to-end bid coordination process; work across multiple bids within the studio and organisation, demonstrating expertise in managing complex multidisciplinary bids to meet deadlines.
- Collaborate with internal stakeholders to gather, refine, and tailor content.
- Design professional, visually engaging documents using Adobe InDesign.
- Review and refine submissions to ensure quality, accuracy, and compliance.
- Actively contribute to the wider Business Development function in the studio, including marketing collateral and client engagement.
- Continuously improve processes for greater efficiency and better outcomes.
- Drive a culture of design excellence that sets Hassell apart, ensuring bids showcase distinctive and innovative solutions. Seek support and advice from the Marketing Comms team to improve design quality.
Qualifications
What You’ll Bring
- Proven experience in bid coordination, ideally in architecture, design, or a related field.
- Advanced Adobe InDesign skills, experience with other design tools is a plus.
- Strong organisational skills to manage multiple projects and deadlines.
- Excellent communication and collaboration skills, working effectively with diverse teams.
- A sharp eye for detail and a commitment to delivering quality.
