Job Description

Hybrid Schedule: 2-3 Days in Office Required

Job Description Summary

The Purchasing Coordinator is a detail-oriented and proactive position that supports the daily operations of our sourcing and procurement team. This role plays a critical part in ensuring consistent product availability, seamless supplier communication, and accurate procurement data — all of which support the delivery of premium sushi products to our customers. The Purchasing Coordinator will work closely with buyers, cross-functional partners, and suppliers, and report directly to Procurement team leader.

Duties & Responsibilities
• Create, track, and follow up on purchase orders in coordination with buyers.
• Maintain accurate item and vendor records in procurement systems, including setup and ongoing updates to item codes.
• Support the onboarding process for new products and vendors, ensuring all documentation and systems are in place.
• Liaise with suppliers regarding order status, lead times, and delivery schedules.
• Assist in resolving issues related to inventory availability, product quality, or shipment discrepancies.
• Coordinate with operations, logistics, and quality assurance to ensure seamless supply chain execution.
• Organize and manage supplier tastings and samplings in collaboration with the product development team.
• Prepare procurement-related reports, demand forecasts, and assist with data analysis as needed.
• Perform general administrative support including invoice follow-up, document organization, and meeting coordination.

Qualifications

• Bachelor’s degree or 4 - 5 years of experience in purchasing, supply chain, or administrative support (experience in the food industry or perishables preferred).
• Strong attention to detail and commitment to data accuracy.
• Excellent communication skills, both written and verbal.
• Proficiency in Microsoft Excel; familiarity with ERP or procurement platforms is a plus.
• Ability to prioritize and manage multiple tasks in a fast-paced environment.
• Team player with a proactive mindset and a genuine passion for food and operations excellence.
