This is an exciting time for Halton Healthcare and our region, as we begin work to expand our hospital capacity over the next two years.  In order to meet the growing needs of the community, we are strengthening care by developing modern spaces within existing hospital infrastructure.  This role will play a pivotal part in the upcoming redevelopment project by providing project coordination to a timely and successful delivery of the overall project

Job Description

The Project Coordinator will supports the planning, coordination, and delivery of our upcoming capital redevelopment project to ensure the work is completed safely, on time, within approved scope and budget, and in accordance with organizational standards.

Working collaboratively with internal stakeholders, consultants, contractors, and service partners, the Project Coordinator will provide coordination and oversight throughout the project lifecycle, including planning, design development, procurement, construction, occupancy, and closeout. The position integrates project scope, scheduling, financial tracking, risk considerations, and communication to support functional, operational, and user focused project outcomes. 

Through effective coordination and execution, the Project Coordinator will contribute to the successful delivery of Halton Healthcare's capital infrastructure objective while supporting safe, efficient, and well-planned use of facilities.  The Project Coordinator will:

  • Support the development and implementation of project charters, work plans, timelines, and risk considerations.
  • Coordinate design development activities, including review of drawings, specifications, and project documentation.
  • Monitor project progress and support resolution of issues to maintain project objectives.
  • Assist Project Managers with planning and delivery activities on large or complex capital projects, as required.
  • Coordinate the procurement, engagement, and oversight of external consultants, contractors, and service providers. 
  • Facilitate project meetings and act as a key point of contact between project teams and stakeholders. 
  • Support tendering processes, including bid evaluation, recommendations, and award coordination. 
  • Monitor consultant and contractor performance to ensure compliance with contracts, codes, standards, and specifications. 
  • Support contract closeout activities, including documentation, inspections, and deficiency resolution.
  • Assist in developing, monitoring, and reporting on detailed project budgets in collaboration with internal stakeholders and external partners.
  • Review, approve, and process invoices, progress claims, and change orders in accordance with organizational policies.
  • Coordinate procurement activities (purchasing requests, RFQs, tenders) and occupancy planning activities
  • Support the delivery, installation, commissioning & readiness of furniture, equipment & systems.
  • Coordinate inspections, testing, and approvals required to achieve safe and functional occupancy.
  • Support post‑occupancy reviews and coordination of outstanding deficiencies or warranty items.
  • Prepare project updates, reports, and documentation for stakeholders, governance committees and leadership.
  • Collaborate with internal departments to support effective coordination and integration of project activities.

Qualifications

  • Bachelor's degree in Business Administration, or related field. 
  • Minimum 5 years experience coordinating large-scale projects in a healthcare setting.
  • Excellent communication (verbal/written), strong interpersonal and customer service skills.
  • Strong leadership abilities and works effectively in a team oriented environment.
  • Knowledge of the hospital guidelines and internal processes, overall contract management (consultants, suppliers and contractors) and project documentation (ie. CCDC).
  • Knowledge of the Ontario Building Code, Canadian Standards Association standards and guidelines, AODA, Code Plus, and Occupational Health & Safety standards. 
  • Awareness and adherence to infection control precautions and protocols in a hospital.
  • Knowledge of design development stages and construction management.
  • Excellent problem solving skills.
  • Skilled in specialized technology (ie. MS office, MS Project, AUTOCad, Adobe, Sharepoint).
  • Demonstrate excellent organizational skills and ability to develop systems/processes that create efficient work flow and time management.
