Job Summary
The Donor and Volunteer Relations Coordinator ensures donors who invest their money and volunteers who invest their time into the agency are tracked, recognized, and successfully retained through various stewardship efforts. The position serves as the database administrator and is responsible for entering donations, volunteer activity, and sending acknowledgement correspondence. This position recruits, trains, and manages volunteers (groups and individuals) to support HVAF’s Veterans Community Center and housing properties. The ideal candidate will be detail oriented, possess excellent communication skills, and be an enthusiastic team-player.
Principal Duties and Responsibilities
Responsible for managing HVAF’s Bloomerang database including developing protocol for data management, updating constituent information, and reporting requirements
Promptly and accurately track and enter monetary donations, in-kind donations, and volunteer hours into Bloomerang database
Follow and manage the Advancement Team’s stewardship plans and processes ensuring donors and volunteers promptly receive acknowledgements and communications from the agency
Work with Finance Team to accurately complete monthly accounting reconciliation while maintaining accurate records per compliance and auditing requirements.
Provide weekly, monthly and as needed reports to VP of Advancement
Work with Maintenance Team and Community Center staff to determine and support volunteer needs
Assist with the scheduling and managing of volunteer work groups
Coordinate with Advancement Team members to promote volunteer opportunities in the community
Recruit volunteers at community events and develop and retain permanent individual volunteers
Ensure volunteer’s needs and expectations are positive, exceeded and fulfilled.
Assist in the successful planning, organizing and staffing of donor campaigns (mailings and digital), fundraising events, and other activities assigned by VP of Advancement
Manage event planning software for special events (such as OneCause)
Qualifications
Education/Experience/Skills Required
Bachelor’s degree in relevant field
Must have a valid Indiana driver’s license and be eligible for HVAF’s auto insurance at all times during employment
Must be able to complete a background screening with an acceptable outcome
Ability to lift, move, and organize items up to 45 pounds
Experience with donor management databases (such as Bloomerang or DonorPerfect) required
Demonstrated strong computer skills, including proficiency in Microsoft Outlook, Word and Excel and have the ability to learn new software quickly
Highly organized with strong attention to detail
Demonstrated strong time management skills and ability to multi-task and prioritize according to urgency and deadlines and goals.
