HR.Coach is leading a retained search on behalf of our client.  This is an active search for an immediate opening for an Administrative Assistant/Bookkeeper to organize hard and soft files, manage foundation and household accounts, and light bookkeeping.

Employment is contingent upon passing a rigorous background investigation including a financial credit check. 

Job Description

Responsibilities include but are not limited to:

  • Create, organize and streamline the filing of all financial paperwork.
  • Scan legacy hard files into easily retrievable soft file system.
  • Working with HR and CPA create and maintain document retention policy and procedures.
  • Securely dispose of confidential documents.
  • Receive correspondence, review and file accordingly.
  • Review invoices for accuracy and prepare disbursement vouchers for approval.
  • Enter data and maintain financial records.
  • Special projects as needed.

Qualifications

8-10 years of administrative and/or bookkeeping experience

Extremely organized and experience creating and maintainig hard and soft file systems.  

Proficient in working with Mac. 

Excellent verbal and written communication skills

Ability to communicate with owners in a concise manner to convey complex information

Proficiency with Quickbooks and MS Office Suite

Ability to retain confidential information

Quickbooks experience preferred.
