Job Description

As the Leasing Admin, you are responsible for contract management in your sales market and support your colleagues in Leasing, Legal, and Controlling with data quality. You are responsible for contract handling and documentation, and administration of the contracts themselves, physically and in LIMA and accounting systems. You own the rental payment follow-up for your market and ensure that our contracts are followed.   You collaborate with colleagues in your sales market and region, as well as cross-functionally. You support all brands in your sales market. 

You are organized in your way of working, are thorough in your processes, and have attention to detail. You work strategically and have a multibrand and multichannel perspective. You have professional communication skills and are comfortable handling communication with external business parties. You work effectively in a fast-paced work environment while managing various tasks at once and have a ‘can-do’ attitude. You enjoy working as part of a team and effectively collaborate with a group of diverse people in order to achieve set goals and targets. 

Key responsibilities:

  • Ensure all contracts are signed correctly and on time, monitor contract execution, and handle internal and external document transmittal, including compliance with IFRS-16 requirements.
  • Maintain 100% data accuracy in systems and files to match physical contracts, provide guidance on missing data, and support various teams to verify lease information and assist with Expansion functions.
  • Establish strategies for data loads and rental payments and ensure correct recurring payments by coordinating with the accounting department.
  • Generate reports on rent payments and other charges, maintain communication with landlords to resolve payment discrepancies, and stay informed on leasing and legal routines to propose improvements.
  • Closely collaborate with global and regional sales markets for expansion, understand accounting routines and timelines for payments, and provide timely support to external auditors with necessary data and documentation for IFRS-16-compliant reporting of rent obligations.

Qualifications

To be successful in the role of Leasing Admin, you should have professional communication skills and are comfortable handling communication with external business parties. 

What you need to succeed:

  • Previous work within Controlling, Legal, Accounting or Payroll function of H&M, or external company working with legal documentation and contract management and/or accounting 
  • Experience in administration, accounting and/or contract handling
  • Good understanding of legal documents as well as good numerical understanding
  • Organized and structured; teamwork and collaboration
  • Advanced English level 
     

Additional Information

This is a full-time position, reporting to the Expansion Manager.
This position is based in either Tokyo or Seoul. Specific working location will be discussed during the interview.
