This Executive Assistant role will be split between two different functions: New Development and Business Unit & Assortment Support & Development:
The New Development Function, part of Head Office at H&M, has the purpose to strengthen the H&M brand, drive innovation and explore new opportunities for growth. For example, this is where the H&M Collaboration & Special Collection team can be found.

Business Units & Assortment Support & Development is a Head Office function at H&M Brand which strategically & operationally supports the Business Units (Womenswear, Menswear, Divided, Kids and Lifestyle; H&M Beauty, H&M Sport and H&M Home) in current & future ways of working, to enable an inspiring and industry leading customer offer.

Job Description

As Executive Assistant you will provide daily support in the day to day operations for two of our executives: Head of New Development and Head of Business Unit & Assortment Support & Development. The role is new and will include a broad scope of tasks, ranging from administrative tasks to planning and coordinating meetings and events, prepare communication materials as well as acting single point of contact towards internal and external stakeholders for the managers. You will report to Head of New Development and work in close collaboration with both executives, being involved in their day to day tasks as well as specific projects.

Your responsibilities:

  •  Give administrative support to the two executives and other key stakeholders.
  • Manage and maintain schedules and emails; optimizing time and do proactive planning.
  • Acting as a point of contact towards internal and external stakeholders for the managers.
  • Prepare, facilitate and set meeting agendas as well as keeping records and summarizing/following up on action points.
  • Produce and review presentation material, maintaining communication share-points and responsible for digital events such as broadcasts, lectures and workshops.
  • Organize external and internal meetings and events.
  • Responsible for administrative tasks such as, handling expense reports, time reports, invoices as well as planning and purchasing items.
  • Office- and administrative routines connected to the office environment.

Qualifications

We believe you have/are:

  • A minimum of 3-5 years of previous executive support experience or other equivalent experience
  • Experience from stakeholder management and leadership support, preferable from a large international organization
  • Strong administration and organizational skills, but in the same time being comfortable working in a fast-moving and ever-changing environment
  • Strong communication skills, you are fluent in English, both written and spoken
  • Excellent Office365 skills (particularly PowerPoint, Teams and Sharepoint)
  • Skilled in time- and workload management

Additional Information
