Job Description

Full-time position reporting to the Head of Delivery, Degree Programs

The Program Manager ensures the seamless, efficient, and high-quality delivery of HEC Paris degree programs. The role leads the end-to-end coordination of assigned programs, oversees academic administration and participant support, and cultivates effective relationships with faculty members, senior executives, participants, and internal support teams.

Program Delivery and Operations

  • Lead the end-to-end planning, coordination, and delivery of assigned degree programs across in-person, online, and hybrid formats, in line with academic requirements, agreed timelines, and quality standards.
  • Coordinate program schedules, session logistics, learning platforms, facilities, materials, online components, and third-party providers.
  • Prepare, review, and distribute program materials, reports, official academic documents, and communications, including grade sheets and letters of completion.
  • Develop and continuously improve delivery processes to support consistent, efficient, and high-quality program execution.
  • Work closely with the Head of Delivery, Degree Programs on operational priorities, progress updates, and matters requiring escalation.

Academic Administration

  • Track and maintain accurate participant academic records and status throughout the program lifecycle.
  • Manage the end-to-end grading process, including grade collection and validation, appeals, final grade sheets, and communication of jury feedback.
  • Ensure compliance with academic policies, deadlines, confidentiality, and records-management requirements in coordination with faculty and relevant internal teams.

Stakeholder Experience and Communication

  • Act as a key point of contact for participants and faculty, anticipating needs and resolving operational or technical issues throughout the program lifecycle.
  • Coordinate with faculty, guest speakers, senior executives, and internal teams to ensure readiness and clear, timely communication before, during, and after each module.
  • Build strong stakeholder relationships and maintain a consistently high standard of service and professionalism.

Quality, Risk, and Financial Management  

  • Monitor program quality and feedback to ensure academic and service standards and identify improvement opportunities.
  • Identify operational or academic risks early, implement appropriate solutions, and escalate significant issues when required.
  • Track assigned program budgets and expenditures and support forecasting, invoice follow-up, reconciliation, and timely reporting of potential anomalies or risks.

 

Qualifications

Education and Experience

  • Master’s degree in business administration, management, education, or related discipline. A Bachelor’s degree with significant relevant experience may also be considered.
  • 8+ years of relevant experience in program, project, or event management in an external stakeholder-facing capacity; experience in higher education or executive education is strongly preferred

Skills and Competencies

  • Proficiency in Microsoft Office and project management tools; familiarity with learning management systems is advantageous.
  • Excellent English communication skills; proficiency in French and/or Arabic is advantageous.
  • Strong organizational and project management skills, with excellent attention to detail.
  • Excellent stakeholder management, interpersonal, and intercultural communication skills.
  • Ability to manage academic information with discretion and confidentiality.
  • Ability to work effectively under pressure, manage competing priorities, and meet tight deadlines.
