Job Description

Full-time position reporting to the Chief Operating Officer

The Associate Director of Operations is responsible for overseeing the smooth delivery of all programs offered by HEC Paris in Qatar while ensuring the efficient management of shared services across the organization.

Key Responsibilities 

  • Serve as the central point of contact for the Chief Operating Officer concerning departmental activities and initiatives, keeping him informed of all relevant topics within Operations
  • Lead the teams in upholding the utmost standards in program delivery and shared services
  • Work closely with the Main Campus to ensure a consistent customer experience across similar programs and activities
  • Oversee the efficient management of shared services (Back-office support, Facilities Management, and I.T.)
  • Foster communication and knowledge sharing within the Operations department at HEC Paris in Qatar and with counterparts on the Main Campus
  • Serve as the primary liaison for Doha-based faculty workload matters, facilitating effective communication and information sharing with relevant stakeholders
  • Ensure compliance with internal standards and institutional policies
  • Review and implement streamlined guidelines and processes
  • Monitor operational performance metrics and implement improvements as needed
  • Monitor participant feedback diligently, provide guidance on how to effectively address them, and serve as the final point of escalation for participant concerns
  • Enhance and maintain quality assurance protocols
  • Work closely with the Heads of Department to prepare and manage the annual budget for Operations
  • Exercise budget monitoring and control by ensuring compliance with financial objectives and margins 
  • Strive for cost optimization without compromising quality
  • Represent HEC Paris in client interactions and official functions as needed
  • Supervise, coach, and establish goals for team members, providing regular feedback and motivation to achieve objectives
  • Cultivate a culture of continuous improvement within Operations

Qualifications

  • Master's degree in business administration or a related field
  • 10+ years’ work experience, preferably in similar roles 
  • Track record in project management, strong organizational and project planning skills, ability to multi-task
  • Knowledge of the higher or executive education industry preferred
  • Demonstrated leadership skills with proven experience in managing and leading teams
  • Energetic, strong work ethic, initiative
  • Excellent presentation abilities, coupled with strong analytical and financial skills
  • Excellent interpersonal and intercultural skills, together with the ability to work collaboratively and courteously with varied stakeholders, including executives and VIPs
  • Excellent verbal and written communication skills in English and French
  • Ability to anticipate problems and generate solutions quickly
  • Ability to work successfully under pressure in a fast-paced and changing environment
  • Flexibility to travel and work non-traditional hours (evenings, weekends) if needed
  • Prior experience in Qatar and/or GCC preferred
