Job Description

The Development Administrator reports to the Vice President of Development and will assist her/him in administration items of the Development Department, such as database entry and reporting, pledge reminder generation, administrative support for the department, project and event management and staffing, data gathering and budget maintenance, and acting as a liaison to the Marketing and Communications Department for production of Development Department marketing pieces and events.

The Development Administrator will work with the Vice President of Development in preparing and monitoring the annual Development Department Operational Plan each fiscal year and help drive and implement the plan throughout the fiscal year.

Qualifications

  • Development database experience, Raisers Edge preferred.
  • Proficiency in Microsoft Office Suite.
  • Excellent written and oral communication skills.
  • Organization skills and attention to detail.
  • A collaborative spirit.
  • Minimum of 2 years of professional experience.

Additional Information

Duties include but are not limited to:

Development Department Administration: 

  • Assist the Vice President of Development in the daily administration items in running the Development Office such as, budget monitoring, report preparation and printing, etc.
  • Monitor progress on the annual fiscal year Operation Plan and financial goals and prepare updates.
  • Prep for weekly Development Department team meeting.
  • Provide administrative support for Development Department staff.
  • Maintain the Basecamp project management software system for Development Department projects.

Gift entry and database maintenance:

  • Work with the database in gift entry/gift acknowledgement and Raisers Edge reports.
  • Generate pledge reminders for unpaid gift pledges.

Board of Directors Support:

  • Assist in Board support work as assigned by the Vice President of Development e.g.:
    • Meeting packet preparation and meeting registration.
    • Administrating meeting task lists to fulfillment.
    • Minutes preparation.

Marketing and Communications:

  • Act as the liaison to the Marketing and Communications Department for Development Department marketing materials;
  • Maintain the calendar of Development Department marketing pieces needing to be designed, printed and/or mailed.
  • Keep the Development Department marketing pieces on time.
