Job Description

SUMMARY:
Oversees all Company event functions to ensure successful execution. This includes all internal, member, and special events. The position is a leadership role that requires the ability to work at all levels in the organization, following up on tasks and ensuring service standards are met. The position is expected to develop performance matrix for all events (except weddings) prior to execution and ultimately receive approvals. All events are to be debriefed and the performance assessed for future reference.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Acts as head of the Events Committee, leading meetings, setting agendas and producing timely meeting minutes.
• Works with all departments developing, costing and delivering events that meet or exceed Grandy Ranch Service standards.
• Communicates all details of events to those involved in execution of the event, including client information and other important information necessary to successful execution.
• Works with the Sales and Food & Beverage teams on transitioning the client from Sales to planning to the event following the contract signing.
• Develop the BEO and distribute to appropriate departments and parties.
• Works closely with clients to plan events, upselling and defining details prior to event.
• Ensures BEO packets are made and BEOs are signed in a timely manner.
• Works with client to get deposit in timely manner.
• Meets with sales team member and F&B event manager to walk through the BEO and review all details, using detailed checklist to ensure no details are missed.
• Works with all key stake holder’s clients and F&B team on day of event, to ensure successful execution and exceptional guest and client experience.
• Resolves client complaints, answers questions, provides guidance throughout actual events as needed.
• Inputs all charges into POS at end of events
OTHER DUTIES AND RESPONSIBILITIES:
• This position is highly visibility with external stake holders such as, members and the community in general. This position may be asked to participate local associations, chambers or special groups as a delegate representing Granby Ranch to build and improve relationships.

SUPERVISORY DUTIES:
• Manages Events Coordinator; defining work load, schedule, responsibilities and performing other supervisory duties.

Qualifications

Knowledge, Skills & Ability: 

  • Strong management and leadership skills, including communication, training, coaching, creating a vision for the department and other skills necessary in providing outstanding management and leadership.
  • Great communication skills and maintains a friendly, helpful attitude to all guests and fellow employees.
  • Problem solving and conflict resolution skills preferred. 
  • Ability to be dependable and work varied shifts. 
  • Must work well under pressure and be able to receive and carry out instructions. 
  • Math aptitude and cash register knowledge required.
  • Must be able to maintain a calm demeanor during busy and demanding events, and continue professional service in the face of conflict.
  • Must be at least 21 years of age.

Education or Formal Training: 


  • Bachelor's Degree or equivalent preferred.
  • Experience: 
  • TIPS certification recommended
  • Minimum of 4-5 years of customer service or event-related work required.
  • Minimum of 1-2 years of experience in food service profession preferred.
  • Familiarity with Colorado State Health Codes and Liquor Laws. 

Working Environment: 


  • Fast paced service environment.
  • Indoor and Outdoor work depending on location of event, in a mountain environment with variable weather conditions. 
  • Flexible work schedule including weekends, evenings and holidays.

Physical Activities: 


  • Must be able to stand and walk for entire shift.
  • Must be able to lift and carry up to 50lbs.
  • Must be able to communicate verbally, effectively delivering and receiving information orally and in writing.
