Role Title: People Systems & Process Assistant 

Employment Type: 12 Month Secondment  

Reports into: HRIS Business Analyst  

We have an exciting secondment opportunity in our People Transformation Team for a People Systems & Process Assistant. This role is essential to the smooth running of our People systems including our HRIS & ATS! You will work with a wide range of stakeholder across the People Team while driving BAU & Continuous Improvement across our People Tech suite. 

Core Responsibilities: 

  • Responsible for execution of BAU and continuous improvement (CI) activities across People processes and systems, ensuring smooth operations during the HRIS project period.
  • Act as the first point of contact for BAU queries, triaging and coordinating resolution with the appropriate stakeholders.
  • Escalate complex issues or critical unplanned changes to the HRIS project team or IT partners, ensuring timely and effective resolution.
  • Support the HRIS Business Analyst in workflow coordination, ensuring BAU activities are managed effectively and dependencies are surfaced.
  • Identify and recommend opportunities to improve processes, tools, and ways of working, capturing learnings that can inform the HRIS solution.
  • Provide support for data quality checks, user access management, and system housekeeping tasks.
  • Assist in the creation and maintenance of user documentation, guides, and simple training materials for BAU activities.
  • Collaborate with colleagues across the People team to ensure BAU process continuity and effective communication during the transition to the new HRIS.
  • Offer ad hoc support to the HRIS project team, e.g. supporting testing cycles or providing process insights 

Who you are: 

  • Experience in a systems / process support role within HR or People Operations. 
  • Good understanding of core people processes and how they connect with technology.
  • Strong organisational skills, able to coordinate BAU tasks and manage multiple priorities.
  • Experience with continuous improvement activities and change management cycles - identifying issues, capturing requirements, and suggesting solutions.
  • Comfortable working with different types of systems, including running basic reports, troubleshooting, and maintaining functionality.
  • Skilled communicator, able to triage issues and explain process/system behaviours clearly to stakeholders.
  • Collaborative team player, confident working with different functions and escalating effectively when needed.
  • Calm and solution-focused, particularly when dealing with unplanned or urgent issues.
  • Proactive learner, able to pick up new systems and processes quickly.
