Job Description

We are seeking an experienced and highly capable Practice Manager to lead the day-to-day operations of a busy and growing Fertility and Gynaecology practice.

This is an exciting opportunity for a proactive healthcare professional who can confidently manage a high-volume specialist practice while establishing and refining operational systems, policies, and procedures to support continued growth.

Working closely with the Specialist and clinical team, you will take ownership of practice operations, patient experience, workforce management, compliance, and business performance. You will be instrumental in creating scalable processes that ensure exceptional patient care while maintaining an efficient and commercially successful practice.

Key Responsibilities

  • Oversee the daily operations of a busy specialist practice.
  • Lead and support administrative and clinical support teams.
  • Develop, implement and continually improve practice policies, procedures and workflows.
  • Manage patient flow, appointment scheduling and capacity planning.
  • Ensure an exceptional patient experience throughout the fertility and gynaecological care journey.
  • Monitor and improve operational efficiency and productivity.
  • Manage staff recruitment, onboarding, training and performance.
  • Oversee billing, Medicare processing, private health fund administration and financial reporting.
  • Maintain compliance with healthcare legislation, accreditation standards and privacy requirements.
  • Liaise with external providers, hospitals, laboratories and key stakeholders.
  • Identify opportunities for practice growth and operational improvement.
  • Support change management initiatives as patient volumes and service offerings evolve.

Applications will only be considered from candidates who meet the following criteria:

  • Previous experience as a Practice Manager within a specialist medical practice.
  • Demonstrated experience managing a high-volume, busy healthcare environment.
  • Proven ability to work independently with minimal supervision.
  • Experience developing, implementing and maintaining operational policies, procedures and practice protocols.
  • Strong understanding of medical administration, patient scheduling and practice workflow optimisation.
  • Experience leading, coaching and managing multidisciplinary teams.
  • Highly organised with exceptional time management and problem-solving skills.
  • Strong financial and business management skills, including billing, Medicare and reporting processes.
  • Excellent communication and stakeholder management skills.
  • Advanced proficiency with medical practice management software systems.

Highly Desirable

  • Previous experience within Fertility, IVF, Women's Health or Obstetrics & Gynaecology.
  • Understanding of fertility treatment pathways and patient care journeys.
  • Experience managing growth, change or practice expansion projects.
  • Accreditation and quality management experience.
