Job Description
The People Operations Specialist supports the Business Partnering and People & Culture team, ensuring smooth operations and the efficient functioning of people-related activities. This role provides support across employee onboarding, HRIS and process management, reporting, systems management, compliance, benefits administration, and employee engagement/enquiries. Key responsibilities will include:
Employee Onboarding:
Lead and facilitate onboarding for new starters, creating scalable processes that include elements of surprise and delights.
Manage the pre-onboarding process for new starters including contracts, background checks and compliance training, partnering with IT on access and asset setup.
Provide support with employee lifecycle administration including onboarding, offboarding, and employee letters.
Systems Management and Reporting:
Own and maintain the People and Culture systems, including Employment Hero, SmartRecruiters, Go1, Culture Amp, Polly, Confluence, Monday.
Create people dashboards and reporting for the Senior Leadership and People Leader teams.
Analyse employee and candidate data, both qualitative and quantitative, creating dashboards, providing recommendations and insights to the People & Culture team and senior leaders.
Ensure company compliance with policies, labour laws, and regulations by assisting with audits and preparing necessary reports.
Assist in the preparation and submission of compliance-related documents such as EOWA reports, OH&S logs, and other government-mandated reports.
Employee Engagement and Communication:
Provide first point of contact for employee police and process.
Maintain and manage the People & Culture Electronic Mailboxes and Slack Channels.
Contribute to the Pulse Survey initiatives and manage the administration of the survey through Culture Amp.
Conduct necessary Onboarding or new hire surveys, and Exit surveys including completing analysis of results and making recommendations.
Qualifications
1-3 years of experience in an administrative or HR-related role.
Familiarity with HRIS systems (Employment Hero preferred), issue/project tracking systems (Jira preferred), recruitment tools and applicant tracking systems.
Strong attention to detail.
Ability to create organised systems and processes.
Ability to prioritise tasks effectively and handle multiple responsibilities in a fast-paced environment.
Knowledge of employment laws and HR best practices is desirable.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
Strong written and verbal communication abilities.
A collaborative mindset, with the ability to work well in a team and assist colleagues as needed.
High level of discretion and professionalism in dealing with sensitive employee information.
