Job Description

The Proposal Coordinator is responsible for preparing sales proposals and calculating costs to ensure that the proposals meet requirements, are delivered on time and comply with GIRO’s pricing policies and contract terms and conditions.

Renewing client agreements

  • Plan, coordinate, and prepare sending letters to renew client agreements
  • Keep the renewal list up to date in the Dynamics tool
  • Keep letter templates up to date (recipients’ contact details, changes to the generic text, etc.)
  • Use GIRO’s in-house management system (PPF) and the SharePoint tool to find and/or confirm information required for renewals
  • Collaborate and coordinate with the members of the Sales and Legal Affairs teams to assemble and confirm the various elements that form part of a renewal letter (e.g. ask for a contract to be attached to a letter, confirm applicable costs) so that the letter can be finalized
  • Follow up on files to ensure deadlines for sending renewal letters are respected
  • Send renewal letters to clients by email
  • Forward questions and requests for pricing details or justifications to the appropriate members of the Sales team, and assist in preparing responses to clients
  • Produce correspondence resulting from clients’ requests in connection with renewal letters

Coordinating proposals

  • Support the Proposal Analyst
  • Prepare or verify pricing using a calculation tool
  • Assemble the proposal, including terms and conditions that meet the specifics of each market (languages, requirements)
  • Ensure consistency of the proposal
  • Ensure that GIRO’s established pricing policy and rules are respected
  • Ensure delivery to meet deadlines
  • Research more detailed explanations for certain aspects of the proposal
  • Keep templates up to date and create new templates as required

Qualifications

  • College diploma or university degree in an appropriate field
  • Interest in cost analysis, including calculation and validation
  • Excellent abilities for planning, organization and thoroughness
  • Skills for multitasking within short deadlines
  • Internal and external client focus
  • Excellent writing skills in French and English
  • Autonomy and sense of initiative
  • Proficiency in Microsoft Office
  • Knowledge of other languages (asset)
