Job Description
JOB SUMMARY
The Audit Assistant provides administrative and operational support to the Internal Audit Department by assisting in audit documentation, data gathering, report preparation, monitoring, and store audit operations. The role supports the conduct of audits across Fredley Group of Companies’ various stores and departments by ensuring accurate records, proper documentation, compliance with company policies, and timely follow-up on audit findings and recommendations.
KEY RESPONSIBILITIES
Store Audit Operations
- Assist in conducting regular and surprise audits of company stores and other business units.
- Review store operations and compliance with company policies, procedures, and internal controls.
- Assist in checking cash handling, sales transactions, POS records, deposits, and other financial documents.
- Assist in conducting inventory counts and checking inventory records against actual stock levels.
- Review store documents, reports, and supporting records for completeness and accuracy.
- Identify discrepancies, irregularities, control weaknesses, and non-compliance during audit activities.
- Document audit findings and prepare reports for review by the Audit Team.
- Conduct follow-up audits or verification of corrective actions implemented by stores.
- Coordinate with store personnel and Operations teams regarding audit requirements and findings.
- Travel to different store locations as required for audit activities.
Audit Administrative Support
- Assist in the preparation and organization of audit schedules, working papers, checklists, and other audit-related documents.
- Maintain accurate and organized audit files and records.
- Encode, consolidate, and monitor audit findings, observations, and recommendations.
- Assist in preparing audit reports, presentations, and other documentation required by the Audit Team.
- Ensure that audit documents are complete, properly filed, and readily accessible.
Data Gathering and Monitoring
- Collect and consolidate data and supporting documents from various departments and branches.
- Assist in monitoring compliance with company policies, procedures, and internal controls.
- Track the status of audit findings and recommendations and follow up with concerned departments or stores.
- Maintain monitoring reports, trackers, and audit databases.
- Assist in identifying discrepancies or incomplete documentation for further review by the Audit Team.
Coordination and Communication
- Coordinate with store operations, Head Office departments, and other concerned personnel regarding audit requirements and documentation.
- Assist in scheduling audit activities, meetings, and follow-up discussions.
- Communicate audit-related requests and reminders in a timely and professional manner.
- Support the Audit Team in coordinating the submission of required documents and reports.
General Administrative Support
- Provide administrative assistance to the Internal Audit Department.
- Prepare meeting minutes, presentations, reports, and other documents as needed.
- Maintain confidentiality of audit records, company information, and other sensitive documents.
- Perform other related tasks and responsibilities that may be assigned by the immediate supervisor.
Qualifications
- Bachelor’s degree in Accounting, Finance, Internal Audit, Business Administration, or a related field.
- Experience in audit, accounting, administrative, inventory, or store operations is an advantage.
- FRESH GRADUATES WITH RELEVANT INTERNSHIP EXPERIENCE ARE WELCOME.
- Proficient in Microsoft Office, particularly Microsoft Excel and Word.
- Strong organizational and administrative skills.
- Detail-oriented with good analytical and problem-solving skills.
- Excellent communication and coordination skills.
- Able to handle confidential information with discretion.
- Willing to conduct store visits and travel to different locations as required.
- Willing to work in a fast-paced, multi-branch food and beverage environment.
