Job Description

The Administrative Coordinator reports to the Executive Director of TV and provides support on multiple levels across several departments. If you like working in a fast paced media production environment and wearing lots of different hats, then this job might be a great fit for you!

The Administrative Coordinator is a unique combination of an Administrative Assistant, Executive Assistant and Production Assistant. To be successful in this role you must have the gift of administration and organization, and be prepared to perform at a high level with simultaneous projects and multiple deadlines. Regular projects and tasks include TV scheduling, weekly reports, budget maintenance, compiling meeting notes, and inventory management. Above all, the Administrative Coordinator’s key role is to provide daily administrative support to the Director of TV. General and specific departmental responsibilities include, but are not limited to:


Administrative Tasks

  • Weekly Reports
  • Compile notes prior to all meetings and take notes during meeting and relay action items to team 
  • Responsible to organize and implement agreed upon project management and organizational tools 
  • Process purchase orders and credit card purchases
  • Ensure the timeliness of purchases and maintenance of budgets
  • Inventory tracking and management
  • Distribution and archiving of important documents (quotes and proposals from outside vendors)
  • Scheduling meetings and events (in house and out)
  • Maintenance of staff documents (time reports, expense reports, contracts) 

 

Project Management

  • Assign and follow-up on tasks.
  • Work with team and follow through with all details related to established workflow processes. 
  • Support Director of TV with tracking communication and deadlines
  • Anticipate upcoming needs and prepare accordingly
  • Learn established workflows and processes; provide input into better processes as needed. 
  • Assess ongoing department tasks and provide accurate updates for the Director of TV
  • Work with other departments on behalf of TV to help organize and structure organization events and projects
     

TV Department

  • Maintenance of current TV schedule and mapping of future TV Schedules
  • Production scheduling and planning
  • Weekly TV show reviews 
  • Collaboration with Marketing Department for TV content 
  • Assist as needed for on-site studio shoots
  • Attend all meetings for admin support
     

IT Department

  • Schedule and attend all meetings
  • Compile notes during meetings and relay action items
  • Purchase Orders
     

Building Services Department

  • Schedule and attend all meetings
  • Compile notes during meetings and relay action items
  • Purchase Orders
  • Assist with back door packages/mail 
  • Occupy the guest services desk as needed; receive and transfer incoming calls to appropriate employee; screen & greet visitors

Qualifications

 

  • Bachelor's degree
  • Must be capable of prioritizing and maintaining a heavy workload.
  • Must have administrative experience.
  • Personal qualities: honesty and integrity; attention to detail; able to handle multiple projects in a very methodical manner; good organizational and teamwork skills; self-starter; able to work in a fast-paced environment; excellent verbal and written communications skills are a must. 
  • Positive attitude; get it done right the first time work ethic.

  • Must live in the metropolitan Atlanta area within a reasonable commuting distance of organization's headquarters. 
  • Handle other projects as assigned.
