Job Description

JOB PURPOSE:

Provide EA support to CFO, CCB, IB & International & Group Treasury. Beyond direct EA to CFO, undertake a wide variety of tasks and responsibilities by organizing and coordinate the Department’s administrative obligations and working closely within the department internally and externally.  Ability to multi-task, meet deadlines and work as part of a team.  Highly accountable and often responsible for safeguarding confidential information.

Primary EA responsibilities: Ensuring professional and smooth running of the CFO's daily operational tasks Managing the day-to-day operations of the office 

Be responsible for calendar management – arrange, coordinate and prioritize complex scheduling and logistics; Provide telephone coverage;  Arrange and coordinate a variety of complex executive meetings, both internal and external; Manage agendas and correspondence for special events, management/committee meetings and development activities;  Responsible for handling all travel arrangements including hotel accommodations, airline reservations, rental cars, off-site meeting venues; Liaising within various channels i.e. internal and external to aim for better understanding of work patterns and smooth functioning.

 

 

5. Job Context

Streamline Manager’s workflow with a systematic completion of all administrative tasks:

Arranging and coordinating with various divisions both locally and International units.

  • Organize and arrange special meeting facilities; Prepare and compile various materials when requested, using PowerPoint, Word, and Excel; Organizing and maintaining files and records; Diarize and follow up on various department matters under the responsibility of CFO, for timely execution. Minute meetings as and when required.
  •  Undertake staff management and all Human Resources & Administrative responsibilities according to directives from CFO
  • Working closely and liaising with HR and Administrative Departments, understanding the bank policies and the staff concerns

Team Support

  • Contributes to team effort by accomplishing related results as needed - Support, coordinate and assist all other members of the team and as well as other teams as and when necessary in various office administrative duties, travel, maintaining supplies of stationery and equipment, arranging meetings etc. and manage the day-to-day operations of the office.
  • Training/Compliance requirements - Coordinate, arrange and follow up with the team members
  • Advise, arrange and follow up on the training requirements and also ensure all Mandatory training/compliance requirements are completed by all the team members.

 

Qualifications

QUALIFICATIONS & EXPERIENCE:

Knowledge & Experience

  • A tertiary qualification with minimum of 15 years of relevant work experience in similar capacity.
  • Qualified accountant or equivalent with demonstrable experience of managing a finance function in a substantial business
  • Proven track record in leading and managing banking operations with leadership experience in general management, project management, communication and budgetary oversight. Direct experience in leading Financial control and MI strongly preferred.
  • Familiar with banking industry practices, guidelines and code of conduct.
  • Able to manage and communicate effectively with regulators and auditors.
  • Able to engage at senior management level with peers and stakeholders.
  • Proficient in all Finance rules and guidelines.
