Job Description

This role is responsible for all Soft Services related inquiries such as day to day operations, supplier/contractor relations, business request arrangements, assists Soft Services Manager in all assigned work and efficiently coordinates other task pertaining to Soft Services Unit.

Generic Accountability

This role is responsible for all Soft FM Services related inquiries such as day to day operations, supplier/contractor relations, business request arrangements, assisting the Soft FM Services Manager in all assigned work and efficiently coordinating other tasks pertaining to Soft FM Services Unit. All business requests such as, pest control, general cleaning or carpet shampooing, etc. have to be attended and scheduled as per SLA-TAT.

Job Context

  • Conducting site visits for checking of cleaning standards if maintained and other maintenance and concerns
  • Creating quality audit reports towards the conducted site visits and following up for the works to be done.
  • Handling of Soft Services related queries (UAE and International)
  • Cross check all related to cost (manpower, carpet shampooing, hygiene items, plants maintenance, etc.)
  • Checking and assisting on maintaining and managing of service contract pertaining to Soft Services Unit
  • Preparing business cases, ECDs, approval notes
  • Coordination with vendor and requester for the execution of services and job completion (i.e. carpet shampooing, pest control, deep cleaning)
  • Keeping up-to-date tracks/records of manpower details (cleaners, office boys/girls, waitress, etc.)
  • Filing/keeping documents related to Soft Services Unit
  • Assist accounts on gathering and providing data for the special allowances of Soft Services outsource staff provided by the bank
  • Assist accounts on gathering and providing data for the special allowances of Soft Services outsource staff as well as collation of outsourced staff details from other unit
  • Coordinates with requester, vendor and GCCC for providing and gathering of access card of Soft Services staff
  • Responsible for verifying and processing of invoices pertaining to Soft Services Unit
  • Creating Unit Budget for the succeeding year
  • Tracking of unit’s budget against expenditure
  • Administering and coordinating all helpdesk call and ensure to close as per SLA – TAT
  • Identifying a way for cost saving for the unit
  • Provides evidences pertaining to KRI
  • Create, review and/or update the SLA, RCSA, BIA, BCP of the Unit
  • Create, review and/or update unit’s Policy and SOP
  • Took part in meetings and providing of documents towards internal and external audits
  • Arrange and coordinate meetings
  • Ensures that all required management reports and MIS are updated periodically
  • Tracking and validating Waste Management trip sheet reports and MIS
  • Contribute on the savings strategy related to Soft Services Unit and department/company strategic objectives and values
  • Oversee, guide and provides advice to colleagues and outsourced staff in their respective duties

Qualifications

  • Bachelor’s Degree holder
  • Administrative related experience
  • Background in Hospitality industry is a plus
  • Computer literate (MS Office, Email, Spreadsheets)
  • Good interpersonal skills
  • Effective communication within team and external team
  • Able to work independently and efficiently to meet deadlines
  • Stress resistant/ can work under pressure
  • Time flexible and can-do multitasking
  • Professional in handling concerns or complaints
