Established in 2007, Feeding San Diego rescues surplus food from local and national food donors before it goes to waste and gets it to people facing hunger in San Diego County. It is the only Feeding America partner food bank in the region.

Job Description

POSITION SUMMARY
The Office Coordinator position provides excellent front-of-house experience and overall administrative support to the organization. The Office Coordinator is the initial point of contact for the public and is responsible for representing the professional image of the organization to callers and visitors. This position is responsible for greeting and directing clients and visitors to the proper party in English, receiving and transmitting messages, coordinating supply needs, data entry, maintaining an exceptional front of house experience, and various administrative projects as assigned.

Community Engagement

  • Demonstrate a professional and engaging demeanor in all interactions with FSD employees, visitors, neighbors, volunteers, board members, donors, and partner representatives.
  • Welcomes visitors, determines the nature of business and announces visitors to appropriate staff members. 
  • Maintain an exceptional front of house experience including the welcome center, volunteer center, break room, restrooms, and reception space. Ensure these areas are neat, clean, and represent the professional, friendly, and hopeful image of Feeding San Diego.
  • Answer and direct incoming calls to appropriate personnel; provide callers with information on the organization including address, directions or mailing of packages; take and deliver messages; exemplify the organization values of respect, responsiveness and professionalism.
  • Receive and Support Volunteer Dept visitors providing food donations.
  • Greet volunteer groups and assist volunteers with shift check-in.
  • Coordinate emergency food box distribution for walk in visitors expressing a need.
  • Schedule and cancel shopping appointments for Marketplace neighbors as needed.
  • Maintain Find Food Map on FSD website.

Office Administration

  • Open and sort all incoming mail and determine proper routing. Assist with processing mail by making copies, maintaining logs, ensuring accurate record keeping, and routing as required.
  • Maintain inventory and order office supplies; Maintain postage machine in conjunction with Facility Manager.
  • Communicate and ensure adherence to safety and food safety expectations as appropriate with visitors.
  • Place lunch orders and assist with meeting scheduling and preparation in conjunction with Senior Leadership.
  • Complete administrative projects and duties to support Feeding San Diego operations as assigned by supervisor and leadership.

INTERACTION
The position will interact closely with FSD employees, visitors, neighbors, volunteers, board members, donors, and partner representatives. This position will also interact with all staff at Feeding San Diego.

Qualifications

EDUCATION AND EXPERIENCE
Required:

  • High school diploma or equivalent
  • Bilingual in English and Spanish (preferred)

Preferred: 

  • Prior experience operating a multi-line telephone
  • Two years professional experience in office administration with a focus on excellent customer service

Any combination of educational and work experience that would be equivalent to the stated minimum requirements would qualify for consideration of this position.

PHYSICAL, MENTAL & ENVIRONMENTAL REQUIREMENTS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to:

  • Perform work in an office adjacent to a warehouse and within a warehouse, which has a noise level that can be considered moderate and may occasionally create an exposure to dust and pollens
  • Operate office equipment and machines, and recognize and abate safety hazards within the workplace
  • Lift, carry, and balance objects weighing up to 35 pounds
  • Communicate verbally and in writing with a wide range of people from divergent socio-economic and cultural backgrounds and origins
  • The noise level in the work environment varies and can be considered moderate.

PAY & HOURS

$22 - $23.50 per hour

In Office Monday - Friday, 8:00 am – 4:30 pm
