Job Description
Operational back office role responsible for the day-to-day administration of a commodity trading and price discovery platform, participant onboarding, billing and financial administration. This role keeps the platform running smoothly behind the scenes — managing user accounts, static data, invoicing, onboarding documentation and participant communications — so the front office can focus on operating the platform and engaging with the market.
Responsibilities
- Set up and maintain user accounts, access rights and participant profiles on the trading platform.
- Configure and maintain client static data and product static data (contract specifications, reference data, instrument listings).
- Log, track and manage incident and service request tickets from participants and internal teams, following defined escalation paths.
- Maintain operational documentation — user guides, runbooks, FAQs and known-issue logs.
- Manage the onboarding documentation workflow — eligibility checks, agreement packs, KYC/AML coordination with Compliance, access provisioning and training scheduling.
- Track the onboarding pipeline and participant status, maintaining accurate records and reporting progress against launch targets.
- Create and maintain onboarding checklists, runbooks and training materials.
- Process participant billing — generating invoices for membership fees, trading fees and data licensing charges in line with the commercial model.
- Track payment status, chase outstanding invoices and maintain accurate billing records.
- Reconcile platform-generated fee data against invoicing records and flag discrepancies.
- Support the preparation of financial reports and revenue tracking for the Steering Committee and
- Maintain CRM records, pipeline data and participant engagement logs on behalf of the front office teams.
- Coordinate participant communications — platform notices, scheduled maintenance alerts, release notes and newsletters.
- Prepare briefing packs, presentation materials and meeting packs for governance meetings and Steering Committee reviews.
- Provide general administrative support to the Market Development team — scheduling, document formatting and expense processing.
Shared responsibilities with Middle Office
- Monitor surveillance alerts and flag anomalous activity when middle office capacity is unavailable.
- Perform daily data quality checks and produce operational reports as needed.
- Support rulebook and product specification maintenance.

KNOWLEDGE, EXPERIENCE AND SKILLS
We are looking for an individual who is highly motivated, driven, and have a passion to be part of a fast-paced, successful team. Being a strong team player is also important as well as someone who is happy to work flexibly.
- 1–3 years in operations administration, client onboarding, billing/invoicing, platform support or a similar coordination role within financial services or technology.
- Experience with invoicing, accounts receivable or financial administration is desirable.
- Experience with user account management, KYC/AML documentation or ticketing systems is desirable.
- Highly organised with the ability to manage multiple workstreams and deadlines simultaneously.
- Strong written and verbal English communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and CRM tools.
- Service-driven mindset — professional, accurate and responsive.
- Flexible and willing to work extended hours during go-live and critical platform events.
