Job Description

The role is responsible for managing and executing payroll processes, with a focus on Brazil and US payroll and HR Operations activities. The role sits at the intersection of payroll and HR Operations, supporting benefits administration, employee lifecycle processes, and payroll-related HR activities.

This role ensures accurate and timely payroll processing, compliant benefits and pension administration, and effective coordination between HR, payroll vendors, and employees across key markets.

PRINCIPLE ACCOUNTABILITIES

 

  1. Complete Operational Payroll Processes: Take responsibility for end-to-end payroll activities across Brazil and US payroll operations. This includes data collection, validation, reconciliations, variance analysis, and reporting. Ensure payroll accuracy through detailed review and validation of outputs, identifying and resolving discrepancies where required. Provide guidance and support to other team members as required, particularly on Brazil payroll processes. Support payroll compliance activities as required, including coordinating with external authorities and resolving payroll-related regulatory queries or issues.

 

  1. Benefits, HR Operations and Administrative Support: Provide support across HR Operations activities impacting payroll, including benefits and pension administration, employee onboarding and offboarding, and day-to-day HR administrative processes. Support benefits administration processes, including enrolment changes, pension updates, and (where applicable) 401(k) administration, ensuring accurate alignment with payroll deductions. Support employee lifecycle processes impacting payroll, including onboarding setup, payroll and benefits activation, and offboarding processing (including final pay and benefits cessation). Respond to employee queries related to payroll, benefits, and employment administration in a timely and professional manner. Work closely with HR Operations and external vendors to ensure employee data changes are accurately and timely reflected in payroll and benefits systems.

 

  1. Payroll Implementation, Vendor and Stakeholder Management: Act as a key point of contact for payroll vendors, HR, Finance and other stakeholders, ensuring service delivery is accurate, timely, and aligned with business expectations. Work closely with the Head of Global Payroll to identify and implement process improvements that enhance efficiency, accuracy, and controls. Support payroll implementation and transition activities as required, working flexibly across projects and business priorities.

 

  1. Compliance and Audit: Ensure all stages of the payroll process are documented for audit purposes. Support local payroll and benefits audits as required and ensure compliance with local and international regulations. Regularly review and update payroll policies and procedures to ensure alignment with global best practices and regulatory requirements. Support HR-related compliance activities where they intersect with payroll and benefits administration.

KNOWLEDGE, EXPERIENCE AND SKILLS

We are looking for an individual who is highly motivated, driven, and have a passion to be part of a fast-paced, successful team. Being a strong team player is also important as well as someone who is happy to work flexibly.

Proven Experience: Experience as an HR/Payroll Specialist, Senior Payroll Analyst, or in a similar role with hands-on experience in managing payrolls across the Americas region.

Knowledge: Strong understanding of Brazil payroll principles, tax regulations, and employment laws, with broader knowledge across the Americas. Ability to interpret and apply country-specific requirements, work effectively with payroll vendors, and ensure compliance with statutory obligations.

Skills:

  • Strong analytical and problem-solving skills, with a high level of attention to detail to ensure accuracy in payroll processing and data management.
  • Advanced Excel skills with the ability to work effectively with large, complex datasets.
  • Strong numerical ability with a proven track record of identifying variances, anomalies, and data inconsistencies.
  • Good understanding of payroll and HR Operations processes, including employee lifecycle and benefits administration, particularly in Brazil and/or US environments.
  • Ability to prioritise and manage competing deadlines in a fast-paced environment.
  • Ability to navigate complex regulatory and compliance requirements across multiple jurisdictions.
  • Strong communication and interpersonal skills, with the ability to work effectively across teams, functions, and cultures.
  • Demonstrates independent thinking, curiosity, accountability, and a proactive approach to problem-solving.
  • Proficient in payroll systems and HRIS platforms, with experience working in vendor-managed payroll environments; familiarity with ADP is desirable.
  • Demonstrates curiosity and openness to leveraging technology and emerging tools (including AI) to improve processes, enhance accuracy, and drive operational efficiency.

Certifications: Relevant payroll/HR/accounting qualification or equivalent practical experience, with exposure to Brazil HR and Payroll regulations and ideally also US knowledge.
