Job Description

The Human Resources Assistant, Engagement will play a pivotal role in supporting and advancing employee engagement initiatives within the organization. This position will entail providing administrative and logistical support, assisting in the coordination of engagement programs, and fostering a positive and inclusive work environment. This role will leverage project management skills to aid in planning, executing, and monitoring engagement programs to ensure timely completion and measurable outcomes. Additionally, this role will involve collaboration with other support departments and maintaining thorough and accurate documentation of all committee interactions.

Pay: $22 - $23 / Hour

DUTIES AND RESPONSIBILITIES

  1. Project Management:
    • Assist in the planning, execution, and monitoring of employee engagement projects, including but not limited to:
      • Employee surveys and feedback initiatives.
      • Recognition and rewards programs.
      • Wellness programs and events.
      • Team-building activities and social events.
      • Diversity and inclusion initiatives.
    • Develop and maintain project timelines, budgets, and resource allocation plans.
    • Track project progress, identify potential roadblocks, and implement solutions to ensure timely completion.
    • Prepare project status reports and presentations for stakeholders.
    • Utilize project management software and tools to manage projects effectively.
    • Conduct post-project evaluations and analyze data to identify areas for improvement.
    • Document project procedures and best practices.
  2. Employee Engagement Support:
    • Provide administrative support for engagement initiatives, including scheduling meetings, managing logistics, and coordinating communications.
    • Assist in the development and distribution of employee engagement communications, such as newsletters, emails, and intranet content.
    • Maintain accurate records of employee participation and engagement data.
    • Respond to employee inquiries regarding engagement programs and initiatives in a timely and professional manner.
    • Assist in the creation and maintenance of employee engagement resources and materials.
    • Help to curate and maintain the employee intranet with up-to-date engagement information.
    • Assist with onboarding and offboarding procedures, especially relating to engagement and cultural information.
    • Gather and analyze employee feedback to identify areas for improvement in engagement initiatives.
    • Assist in the development and administration of employee surveys.
    • Help to track and report on the effectiveness of engagement programs.
    • Assist with the coordination of volunteer and community outreach programs.
  3. General HR Support:
    • Handle confidential information with discretion.
    • Assist with other HR-related tasks as assigned.

Environmental Working Conditions:

  • Will work primarily in an office environment and/or telecommute from a remote home office location.
  • Working environment may include but is not limited to reporting to remote/alternative training locations (conferences, hotels, air travel), etc.

Physical Demands:

  • This position requires the ability to view computer screens, mobile devices, and other electronic equipment for extended periods of time where visual strain may result.  Adequate vision (close,  color,  depth, focus adjustment) is required for computer use,  project management, and design-related tasks.
  • Must be able to operate computer keyboard and mouse for extended periods of time where finger, hand, and wrist strain may result.
  • This position requires periods of prolonged sitting, and may occasionally require extended periods of standing and walking (ex: Wellness events).
  • Must be able to lift/carry/push/pull up to 10 lbs regularly and 25 lbs occasionally with assistance, with the potential for occasional heavier assisted lifting.
  • Must be able to work proficiently and effectively under time constraints/deadlines and professionally manage interpersonal business relationships where stress may result.

Must be able to travel to attend training and business meetings, conduct onsite events, or perform other business functions as required by the position.

Qualifications

Minimum Requirements:

 

  • Minimum of 1 year experience in a similar Human Resources support role, preferably within Residential Property Management.
  • High School diploma or equivalency certificate required.
  • The standard schedule is 40 hours per week. Occasional overtime may be required based on business needs and will be compensated in accordance with federal and state wage laws.
  • Must be proficient in speaking, reading, and writing in English.
  • Basic proficiency in computer skills (MS Office, Google Apps, email, internet) is required. Basic proficiency in design skills (Canva, MailChimp) is preferred, not required.
  • This position is telecommuting approved. Employees must be disciplined and have the ability and set-up to work from home, have a dedicated space to efficiently and ergonomically perform job duties, and must be able to abide by FPI's Telecommuting policies.
