Job Description

The Recruiting Coordinator under the guidance of the HR MGR-Recruiting & Onboarding will perform administrative support functions of a complex and detailed nature in support of the Recruitment & Staffing Team, requiring strong analytical and independent judgment skills. The Recruiting Coordinator will also provide coverage for the administrative team when necessary.

DUTIES AND RESPONSIBILITIES

1. Recruiting Operations Support

  • General FPI Careers (hiring) email inbox administrator
  • Creating New Opportunity Requests in UKG Recruiting
  • General reports/queries – Requires strong competency with spreadsheets (MS Excel/Google Sheets)
    • Assist with the production of recruiting metrics and/or ad hoc reporting on a weekly, monthly, quarterly, and yearly basis
    • Run audit reports for various functions within the business unit (recruiting, onboarding, etc.)
    • Maintain accurate and timely updates to the Recruitment & Staffing Workbook
  • Employee Referral Bonus Programs Processing
    • Sign-On Bonus & Employee Referral Bonus programs – payouts are processed after New Hire has completed 90 days of employment
    • Update the Bonus Tracking Google Sheet
  • Applicant Tracking System (ATS) Platform System Administration Support
    • Assist Recruitment & Staffing Manager with maintaining all ATS tables, libraries and templates
    • Assist Recruitment & Staffing Manager with documenting all system processes
    • Participate in the review, testing and implementation of upgrades or patches

3. Pre-Employment Screening Process

  • Launch Background Report in UKG
    • Ordering drug screenings when necessary
    • Ordering OSHA Questionnaire exams, as necessary/directed by the Pre-Employment Specialist. iii. Verify WA Driver's License validity through online resource (WA DMV).
    • Track New Hires in the background process to determine when they have met the minimum requirements for a conditional hire or if fully cleared
    • Send email notification to New Hire and Hiring Managers on the progress of the employee

4. New Hire Onboarding Process

  • Hire Candidate in UKG Recruiting
    • Process New Employee in UKG/Send UKG Credentials via email
    • Send Housing Allowance packets from DocuSign, as applicable
    • Process Onboarding documents
  • Finalize New Hire's completed onboarding in the Onboarding platform (uploading all documents)

5. Complete Electronic Form I-9 and E-Verify Processes

  • Complete the Electronic Form I-9 process for all New Hires within the first three days of employment
    • Ensure receipt of clear copies of acceptable documents
  • Monitor the E-Verify dashboard for alerts and announcements and address all issues
  • Address any expiring work authorizations or tentative non-confirmations (TNC) with the Recruitment &  Staffing Manager and the appropriate Hiring Manager in a timely fashion
  • Utilize the E-Verify Employer Hotline and/or approved legal counsel for questions and/or concerns

6. General Administrative Support

  • Assist the business unit in carrying out various recruiting support functions including record keeping, file maintenance and data entry
  • Assist the department with special projects, as requested
  • Projects/Process Improvements
    • Coordinate and lead process/customer service improvements, innovative solutions, policy changes and/or major variations from established policy
    • Use project management skills in managing owned/assigned projects. May provide overall project management support for a given HR/Recruiting initiative
  • Respond to all employee requests and questions in a timely manner and with a customer-service oriented mindset. Requests and questions may come from a variety of sources: phone, email, ticketing, in-person, etc., and responses require a high level of professionalism and tact. Escalating as necessary

Other Duties

  • Performs other related duties as required and/or assigned
  • Consistently and fairly enforce all Fair Employment Laws and FPI policies and procedures
  • Promote a professional image by adhering to FPI Management's Dress Code Policy
  • At all times, conduct displayed must be of a professional manner when communicating with colleagues, employees, candidates, clients, and vendors while representing FPI Management
  • Responsible for meeting all training requirements for the position (Grace Hill, Safety Meetings, etc.)

Qualifications

Minimum Requirements:

  • Minimum 2 years' recent experience is preferred in a similar high-volume, fast-paced HR/Recruiting support role
  • Strong current working knowledge of all Federal and individual State employment laws, USCIS (immigration) regulations, FCRA regulations, HIPPA (as it pertains to medical testing and results), and OSHA regulations (as it pertains to respirator testing and use)
  • Must have solid understanding of Form I-9 procedures and processing, and the EVerify process
  • Strong computer skills (MS Office, Google Suite, Adobe, email, internet, etc.)
  • Intermediate to advanced Excel/Google Sheets experience is preferred (must have knowledge of more complex formulas, pivot tables, data modeling and validation, conditional formatting, etc.)
  • Strong HRIS/ATS experience required (preferably with UKG/UltiPro)
  • High School diploma or equivalency certificate
  • May Require a Valid Driver's License, as well as: a good driving record, current motor vehicle insurance which meets State requirements, and an operable vehicle that meets FPI's Driving Standards and Personal Vehicle Use policy.
  • Must be proficient in speaking, reading, and writing in English. Bilingual Spanish preferred
  • Position is telecommuting approved. Employees must have the ability and set-up to work from home, have a dedicated space to efficiently and ergonomically perform job duties, and must be able to abide by FPI's Telecommuting policies
