Job Description

The Acquisition Analyst (AA) is responsible to coordinate and facilitate the acquisition of new business for FPI Management.  The AA will work with clients to assist them in the purchase of apartment communities and or the transfer of management of apartment communities to FPI Management.

DUTIES AND RESPONSIBILITIES

  1. Prepare for a Due Diligence (DD) Inspection and File Audit
    1. Work with client and or broker to develop a scope of the inspection and file audit.
    2. Created DD inspection form questionnaire in Google Forms.
    3. Using a rent roll provided by the client, create a file audit spreadsheet to be used the day of the site visit.
    4. Create Due Diligence Memo Outlining the location of the property, the scope of the DD, the name of the client and a list of all in attendance at the DD.
    5. Recruit FPI Portfolio Managers to be team members for the day of the DD.
    6. Recruit vendors to visit the site and provide reports/proposals.
    7. Obtain certificate of insurance (COI) for FPI to be onsite at the subject property.
    8. Obtain COI from vendors who will visit the site.
    9. Book travel and lodging (if necessary) for Acquisitions Team to attend the DD.
    10. Create a vendor spreadsheet/check list to track the vendors’ COI’s and proposals.
    11. Contact client, broker, seller or seller’s management company to make sure residents are notified with sufficient notice so the apartments can be inspected the day of the DD.
  2. Conduct an Inspection and File Audit at an Apartment Community
    1. Meet with seller’s management team to organize keys and door openers for the inspection.
    2. Meet with client for any last-minute instructions regarding the inspection.
    3. Direct FPI team on the specific scope of the inspection and file audit for the day.
    4. Coordinate clients 3rd party vendors to walk apartments with our teams.
    5. Inspect multiple apartments, recording data obtained from each apartment on an IPad or cell phone in Google Forms.
    6. Review lease files, verify lease terms and record demographic data as specified by the client.
    7. Verify that inspection data has uploaded to the cloud prior to the FPI team leaving the property.
    8. Assign an FPI team member and Coordinate with seller’s management to complete Manager’s Questionnaire, Environmental Questionnaire and Maintenance Questionnaire.
  3. Summarize Inspection Data and File Audit
    1. Manipulate data in an Excel spreadsheet to create the Inspection Summary and File Audit presented to the client.
    2. Create an Executive Summary in Drop Box Paper which includes a narrative of the findings during the due diligence.
  4. Transition of a Property to be Managed by FPI
    1. Organize and lead weekly prep calls with client, portfolio manager, director and FPI department heads to organize all details of the transition.
    2. Recruit FPI Portfolio Managers to be team members for the day of the transition.
    3. Travel to the property the day of transition and perform any and all tasks required to transition the property; including onboarding employees, providing training and guidance to employees on FPI policies, walking vacant apartments, assembling computers, cleaning office(s) and switching utilities.
  5. Market Surveys
    1. Direct Portfolio Managers and or onsite personnel to collect data concerning comparable properties.
    2. If necessary, shop a specific market to collect data for a market survey.
    3. Use the market survey Excel template to create a market survey.
    4. Troubleshoot and fix market surveys from properties managed by FPI.
    5. Train Portfolio Managers and onsite staff on how to create and maintain a market survey.
  6.  Underwriting
    1. Prepare an operating budget for an apartment community and presenting it to the client.  This includes reviewing any regulatory agreements and including the details of the regulatory agreement in the operating budget.
  7. General
    1. Maintain and update the Acquisitions Queue in Google Docs.
    2. Provide property information to Nielsen Insurance to obtain Insurance quotes.
    3. Travel to DD’s (driving and flying).
    4. Concur – Complete monthly expense reports, book flights, hotels and vehicles.
    5. Be aware if existing and changing market conditions.
    6. Maintain positive, professional and effective communication with clients.
    7. Understanding real estate laws in multiple states.
    8. Utilize Dropbox.
    9. Consistently and fairly enforce community rules and regulations, FPI Standard Operating Procedures  
    10. Comply with all Fair Housing Laws and FPI policies and procedures
    11. Promote a professional image by adhering to FPI Management's Dress Code Policy. 
    12. Conduct displayed must be of a professional manner when communicating with employees, residents, prospective residents, clients, vendors, and guests while representing FPI Management.
    13. Perform any and all functions as directed by the supervisor, including special project assistance
    14. Responsible for meeting all training requirements for the position (Grace Hill, Safety Meetings, etc.).

Qualifications

Minimum Requirements:

 

  • Minimum 5 years’ experience in a similar role, preferably within a Residential Property Management company.
  • Valid Driver's License, a good driving record, current motor vehicle insurance which meets State requirements, and an operable vehicle that meets FPI’s Driving Standards and Personal Vehicle Use policy.
  • High School diploma or equivalency certificate.
  • Must be proficient in speaking, reading, and writing in English.
  • Must have a flexible schedule and the ability to travel (car/plane), including overnight travel.
  • Understanding of budgets.
  • Excellent communication skills.
  • Ability to work under pressure.
  • Ability and desire to work in a team environment.
  • Efficient problem-solving skills.
  • Ability to make quick decisions and lead a team of Executives during the due diligence process.
  • Ability to work with sellers, brokers, clients, FPI team members to complete due diligence, work through the acquisition process, close deals and turnover to management side.
