Job Description

The Executive Assistant reports to the President of Automotive and provides high‑level administrative support to select members of the executive leadership team. You will be an important partner and gatekeeper, supporting efficient executive operations.

Also, you will coordinate employee engagement programs, including social and volunteer events across Costa Rica, India, and the United States.

Main Responsibilities

Executive Support

  • Be a trusted communication liaison for executive leadership.
  • Manage complex calendars, meetings, events, travel arrangements, expenses, and follow-ups.
  • Provide high-level administrative support to additional designated executives.
  • Manage Purchase Orders and expense reporting for the President and Senior Vice Presidents.

Executive Operations and Governance

  • Coordinate leadership meetings, offsite events, and strategic planning sessions.
  • Support confidential projects, Provenplans, and special projects.
  • Maintain strict confidentiality related to organizational strategy, personnel, and financial matters.
  • Track budgets and executive expenses in partnership with business and finance teams.

Global Employee Engagement and Events

  • Lead global employee engagement, social, and volunteer programs across the U.S., Costa Rica, and India, aligned with company values and leadership priorities.
  • Partner with HR and site leaders to deliver inclusive, culturally relevant programming.
  • Manage end-to-end event execution, including calendars, vendors, budgets, communications, and logistics; measure engagement and participation.

Qualifications

 

  • 7+ years of experience supporting C‑suite or senior executives in a complex, fast‑paced, global environment, including simultaneous support of multiple executives.
  • Be able to commute to the Schaumburg, IL office 2 days a week.
  • Demonstrated experience coordinating corporate events or employee engagement programs across regions, time zones, and cultures.
  • Maintain confidentiality while supporting executive‑level priorities.
  • Advanced proficiency with: Salesforce, Excel (advanced formulas, data manipulation), PowerPoint ( executive-level presentations), Outlook.

Our compensation reflects the cost of labor across several U.S. geographic markets. We have listed the base pay range for this position above. Within this range, we determine pay based on factors like work location, job-related experience, and education. You will be also eligible for a variable pay opportunity.
