Job Description

Scope of Position: 

To support the Ocean Import manager in the smooth running of the ocean import product in the market place through focus on Operations, Finances, Sales, People, Systems, and Culture in adherence to the company’s policy and procedures.

 

Major Duties and Responsibilities: 

Operations:

  • Run Daily Huddles at 10am and 2pm (Review and action daily)
  • Own Dayforce for specified desk-level (Hourly) employees and lead agent (Review and action weekly)
  • Supports all agents where necessary, coaching through obstacles & hurdles (As needed)
  • Primary trainer for new employees, including but not limited to operational and billing training
  • Own GBO and product deployments, ensuring full implementation into team of new laterals

Support the manager in the following areas:

  • Building and maintaining strong relationships with vendors: steamship lines, trucking companies, CFS warehouse, rail terminals
  • Understanding and working with manager to understand the business; ie. Container count, monthly/yearly revenue budgetl, percentage of routings, and top 10 customers
  • Support after hours operations, if needed, by utilizing email on phone and laptop access

Finances:

  • Complete refunds spreadsheet in SharePoint by designated due date (as applicable)
  • Own reserves, draft payables, AJAX, and BNP
  • Ensures RM is being actioned timely, addresses any outstanding items past 10 days with agents
  • Oversight of billing activities
  • Works with lead to support on margin analysis
  • Meet weekly with branch accounting team
  • Ensure company credit procedures are followed and utilized effectively

Sales:

  • Support the manager and or the sales department where needed
  • Take an active role in the transition of new business/ updates to existing business

People:

  • Meet weekly with manager to further develop Supervisor
  • Schedule monthly One-On-Ones and yearly reviews per employee
  • Identify with manager, develop, and mentor your No. 2.
  • Ensure employees meet company standards of 52 hours training per year per employee
  • Allocate workloads within team to ensure smooth operations during peak activity or staff absence

Support the manager as needed 

  • Address issues with operations, including handling difficult conversations with agents and customers
  • Supports all agents where necessary, coaching through obstacles (as needed)
  • Own reviews for all direct reports on team, works with manager for feedback
  • Own Dayforce updates for hourly agents
    • Ensure agents authorize timecards on a weekly basis
    • Ensure timecards are approved each end of pay period by 10:00 am Monday
    • Monitors and approves SharePoint calendar requests

Systems:  

  • Ensure department is using all system tools to their greatest advantage based on your department size and organization
  • Be open to implementing new system changes and enhancements into your department
  • Be involved and suggest system/process improvements
  • Set the tone of this environment within your department

Qualifications

 Knowledge:

  • Expeditors policies and procedures
  • Good understanding of Expeditors’ products, services and systems
  • Strong market and competition knowledge

Education and experience:

  • Education to degree level or business experience equivalent
  • Minimum 2 years’ in an operational role with management experience preferred
